For Administrative Assistant 1 - Two years of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. The selected candidate must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy by completion of probation,
Certification (e.g., IAAP Certified Administrative Professional) or associate's degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology substitutes for two years of experience.
For Administrative Assistant 1 Trainee - Six months of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. Duties Description As the Administrative Assistant 1 / Trainee 1/2 in the Dean's Office, your responsibilities will be:
Answer questions from and provide information to students, faculty, prospective students and visitors regarding our programs and procedures. Refer inquiries as necessary. Perform routine processing activities, including checking forms for completeness and accuracy before forwarding them appropriately. File forms in the Banner Data Management System (BDMS). Assist with room assignments, compiling information, relaying messages, assigning advisors and entering data.
Operate various communication and computer systems such as telephones, Microsoft Outlook, OneDrive, Word, Excel and Access, Banner and also keep records of communications as necessary. Assist faculty with campus communication systems such as work orders, room reservations, classroom changes and HelpDesk tickets.
Collect and file each course syllabus for every term.
Maintain multiple work rooms for faculty which include office equipment, mailboxes, supply closets and a supply of forms and other necessities. Use campus communication and purchasing systems to order supplies as necessary. Post necessary information such as class schedules, class cancellation notices, building directories and room and mailbox labels.
Manage the internship paperwork process by tracking Internship Learning Agreements and Affiliation Agreements, logging internship data, and registering and e-mailing students and Faculty and Site Supervisors.
Manage the Special Project forms by tracking the forms through the signature process, logging the data and registering and e-mailing students and faculty supervisors.
Work with the Child Development Center (CDC) Directory to prepare administrative paperwork such as bills, payment records, letters, forms, application information and the waiting list. Purchase supplies and maintain records for the CDC.
Work with the faculty of the Early Childhood Department to enroll the appropriate students into Practicum and to communicate the requirements to the students. Collect forms and maintain records for Practicum students.
Assist with preparing and hosting annual High School Day Competition and other similar events. Prepare correspondence, assist with set up for event and assist with hosting of event.
