Duties Description Under the supervision of the Regional Director, the incumbent will:
• Answer the telephone for the Regional Director, Assistant Regional Director and Park Operations Manager 1 and take messages, transfer calls, and give information to callers as appropriate.
• Open, read, and route incoming mail or other materials.
• Track and coordinate assignments and work self-sufficiently to resolve competing priorities.
• Set up and manage paper and electronic filing systems.
• Use various information technology applications such as email, databases, spreadsheets, and word processing applications to complete needed assignments.
• Operate office equipment such as printers, scanners, and copiers.
• Create, maintain, and enter information into spreadsheets and databases.
• Maintain & coordinate scheduling, including scheduling and confirming meetings, conferences, and special events as well as making any necessary arrangements in relation to the meeting, conference, or event.
• Complete forms in accordance with agency procedures.
• Make copies of various documents, place them in proper files, and distributes them to appropriate staff.
• Locate and attach appropriate files to incoming correspondence requiring replies.
• Compose, type, and distribute meeting notes, correspondence, and reports.
• Prepare and mail various items, including letters, reports, and packages.
• Establish work procedures and practices.
• Take meeting minutes and/or prepare material from dictation.

Additional Comments OPERATIONAL NEEDS:
• College degree preferred, high school diploma or equivalent required.
• Minimum of 3 years administrative experience is preferred.
• Must be able to work with confidential information
• Must be able to prioritize a wide range of responsibilities
• Must be able to resolve competing priorities independently
• Must be able to work well under deadlines.
• Must be able to effectively communicate and interface with Regional Office staff, State Operations Staff, Agency staff and customers, both internal and external.
• Must show proficiency with Microsoft Office, including Word, Excel, and Outlook
