Minimum Qualifications Current permanent status as an Office Assistant 2 Keyboarding and qualified for lateral transfer ~OR~ Eligible for transfer via Section 70.1 of the Civil Service Law ~OR~ Reachable on the current Office Assistant 2 Keyboarding Civil Service eligible list.

* Prior to being considered for appointment, candidates may be required to pass a keyboarding test that demonstrates your ability to enter text using an alpha numeric computer keyboard, at a rate of at least 30 words per minute with at least 96% accuracy, if this has not been satisfied in a prior State position.

Provisional Qualifications:

You must be a qualified employee of New York State and have had three months of permanent competitive or 55-b/55-c service as follows:

Either A. as a Data Entry Machine Operator, Data Entry Machine Operator (Spanish Language), Keyboard Specialist 1, Keyboard Specialist 1 (Chinese Language), Keyboard Specialist 1 (Spanish Language), Law Department Document Specialist Trainee 1 or Trainee 2, Office Assistant 1-Keyboarding, Office Assistant 1-Keyboarding (Chinese Language) or Office Assistant 1-Keyboarding (Spanish Language).

Or B. in an office assistant or clerical title allocated to Grade 5 or higher.

Only the titles listed are qualifying for these examinations. Service in a direct care title is not qualifying experience. Examples of non-qualifying titles are: Developmental Disabilities Secure Care Treatment Aide 1, Direct Support Assistant, Food Service Worker 1, Licensed Practical Nurse, Mental Health Therapy Aide, Security Services Assistant, and Youth Division Aide.).


Note: If you are appointed provisionally, you must take the next scheduled Civil Service examination for this title and your score must be reachable on the resulting eligible list before you can be permanently appointed. If you do not pass the examination or achieve a reachable score, you may not be retained.

Duties Description The Office Assistant 2 (Keyboarding) opens, sorts, date stamps and distributes incoming mail daily; processes all incoming credentialing fees daily; reviews payment for completeness, content, and accuracy; codes payments with corresponding applications; enters information into the Unit’s fee database. Tracks all incoming fees daily, which includes reconciling checks with the Fee Transmittal Form, preparing a deposit slip and delivering the day’s deposit to the Finance Unit, and compiling a report on all fee processing activities for inclusion in the Unit’s monthly report. Manages the Unit’s filing system which includes creating new applicant files and maintaining re-credentialing files (i.e., filing and/or purging outdated materials for destruction/archiving). Provides support services for the Credentialing Unit which includes telephone coverage, ordering office supplies, disseminating information of a non-technical nature, conducting mass mailings, and photocopying. Provides support to the Unit Manager and Credentialing Specialist Supervisors. This includes maintaining a follow-up system, drafting routine letters, memos, and office reports, transmitting correspondence, and photocopying. The Office Assistant 2 (Keyboarding) may assist with special projects as needed.
