Job Specifics

Minimum Qualifications Candidates must be reachable for appointment on the current Civil Service Eligible List for this title.

OR

Candidates must have one year of permanent service in the posted title (or Secretary 1) and be eligible for lateral transfer; OR be eligible to transfer via Section 70.1 of Civil Service Law.

OR

Candidates must have one year of permanent competitive or 55b/c service in a title SG-9 or above deemed eligible for transfer under Section 70.1 of the Civil Service Law AND must have completed all required mandatory and elective coursework.**



Administrative Assistant Trainee 1:
Transfer: Candidates must have one year of permanent competitive or 55 b/c service in a title SG-6 or above deemed eligible for transfer under Section 70.1 of the Civil Service Law.**

Administrative Assistant Trainee 2:
Transfer: Candidates must have one year of permanent competitive or 55b/c service in a title SG-8 or above deemed eligible for transfer under Section 70.1 of the Civil Service Law AND completion of all required mandatory coursework.**

Duties Description PRIMARY DUTIES AND RESPONSIBILITIES:

Gather data from Treatment Team Leaders or other Administrative supervisors regarding incident reporting. Analyze data and prepare statistical reports for the DDPS4. Maintain information in computer database for reporting and tracking purposes.

- Independently respond and/or prepare written correspondence for the DDPS4 to routine requests for information and data from outside agencies.

- Review and route routine documents and requests to administrative staff under the direction of the DDPS4 and maintain tickler system to assure timely response from staff identified.

- Assist in gathering data, analyzing data and preparing a written documentation for various special reports and projects as requested.

- Attendance at various meetings and committees to assist in preparation of minutes, agendas and gathering of necessary subject related documentation.

- Travel, scheduling, knowledge of software: Outlook, Access, Excel and Microsoft Word.

- Management of Office Assigned vehicles (maintenance, receipts, scheduling)

- Clerical support to 3 TTL’s assigned to 500 Balltown Road, Schenectady.

- Management of Office supplies inventory/ordering

- Management of visitor’s log

- Management of COVID screening area, including ordering PPE for the office

- Act as the reception/greeter/direction of phone calls within the office.

- Duties as assigned by the DDPS4.
