Job Specifics

Minimum Qualifications Permanent status as an Administrative Officer 2, M-1 and eligible for transfer, OR Reachable for permanent appointment on the current Civil Service eligible list for Administrative Officer 2, M-1, OR Eligible to transfer via 52.6 of the Civil Service Law.

Duties Description The Administrative Officer 2 will perform administrative projects/tasks for the Agency and oversee/coordinate the efforts of the Bureau of Management Services. Duties include, but are not limited to:

1. Oversight of the staff and functions of both the Albany and Statewide offices of the Bureau of Management Services. Duties including:

• Complete all administrative functions/reports required of the Bureau.
• Provide supervision and complete evaluations of Office Services Managers.
• Coordinate activities of staff to ensure the proper sequence, timing, and nature of events to carry out assignments.
• Ensure all functions of the Bureau are operating properly and efficiently.
• Ensure all Agency assets are properly safeguarded and monitored.
• Provide necessary training and direction to staff to complete assignments.
• Coordinating records storage between OASAS remote locations and State Records Center.
• Assist with Bureau functions, as necessary.

2. Projects as assigned by the Director of Operations and OASAS' Executive Deputy Commissioner.

3. Act as liaison with the NYS Office of General Services (OGS) for issues related to space:

• Perform analysis of lease renewal options.
• Ensure all OASAS interests and needs are appropriately reflected in leases.
• Establish new leases.
• Coordinate the renovation/expansion/contraction of OASAS Central and Regional Offices space.
• Meet with OASAS staff/OGS representatives and visiting existing and potential sites, as necessary.

4. Act as liaison with the NYS Office of Information Technology Services coordinating:

• Infrastructure changes/upgrades.
• Computer Equipment repair process/replacement.
• Telephone service changes and the troubleshooting of problems with the Agency VoIP telephone systems. This may include going onsite to diagnose or assist in correcting any problems.
• New service deployments (e.g., document scanning, video conferencing, and VoIP telephones).
• Agency staff at its Central/Regional Offices and Addiction Treatment Centers, as necessary for projects. This includes going onsite to assist with the deployments and train staff, as needed.

5. Other duties as assigned.
