Job Specifics

Minimum Qualifications Candidates must have permanent status as an Office Assistant 1, Grade 6, and be eligible for a lateral transfer, OR be eligible for transfer under Section 70.1 of the Civil Service Law.

Individuals certified eligible for the 55b/c program under the Governor's Program to Hire Persons/Veterans with Disabilities pursuant to Section 55b/c of the Civil Service Law will also be considered. Please provide a copy of your letter of eligibility with your response.

All OMH Central Office employees who are vaccinated for COVID-19 must show proof of vaccination. Duties Description The New York State Office of Mental Health (OMH) is recruiting to fill an Office Assistant 1, Grade 6, position assigned to the position in the Office of Financial Management, Community Budget Financial Management (CBFM) Group. This position provides secretarial support for to the CBFM budget and Consolidated Fiscal Reporting Unit (CFRU), and also supports the Contract & Claims Unit as needed. This position provides clerical support for the Director of the CFR Unit, 4 managers and 15 professional budget and 4 CFR staff assigned to budgeting and fiscal reporting functions interacting with 800 providers operating more than 2,400 programs funded by OMH's $1.3 billion Aid to Localities budget. Specific duties to be performed include, but are not limited to, the following:

Process mail and correspondence; maintain logs and tracking of transactions and assignments.

Assist with travel arrangements and collect travel documentation.

Schedule meetings and maintain staff calendars.

Answer the main phone line and refer calls to appropriate staff member.

Create, organize, and maintain paper and electronic files.

Prepare routine correspondence.

Scan, fax and/or photocopy documents.

Assist with daily tasks and project tracking to ensure timely completion of assignments.

Track and log documents from community providers.

Serve as backup for other administrative staff in the Office as needed.

Perform other clerical duties as assigned.
