Job Specifics

Minimum Qualifications Transfer Opportunity: Current New York State Department of Health employee with one year of permanent or contingent-permanent service as a Program Aide, Grade 13 or New York State employee with one or more years of permanent or contingent-permanent service in a title at Grade 11 or above, and eligible for transfer to Program Aide, Grade 13, under Section 70.1 of the Civil Service Law.

Preferred Qualification: Ability to work in a fast-paced environment. Experience with Outlook, SharePoint, Excel, Adobe, and Word. Personnel and/or management experience. Experience with databases. Having knowledge of the various programs within the Department of Health. Can maintain confidentiality of sensitive documents and materials.

Duties Description "Managing the Bureau case intake and management system: This entails opening a case file in the system that contains multiple fields, including assigned attorney, names and address of case subject, name of referring Program and case type. Updating the case file on the system whenever there is a significant event and closing the case in the system and describing the disposition.
Maintaining Bureau shared directories, including a Forms directory that contains separate form documents for each Program case type and other Bureau functions.
Keeping a log of appearances by Attorneys representing case subjects.
Creating charts and spreadsheets to track Bureau work and functions.
Creating non-electronic case files for Attorneys:
Maintaining the Bureau filing system, including ensuring that older cases are organized, labeled, and sent to storage, and maintaining and tracking closed files within the Office.
Preparing formal legal documents and related correspondence, under attorney supervision.
Mailing (by regular or certified) formal legal notices, orders, and correspondence, and distributing via email copies of such notices, correspondence and order to appropriate DOH Bureau and Program personnel. Creating and maintaining affidavits of service.
Assisting Attorneys with ITS requests, scheduling of meetings, and submission of travel reimbursement forms.
Organizing responses to FOIL requests.
Answering the Bureau phones.
Ordering office supplies and paying vendors.
Handle servicing of office equipment including printers and copiers."
