Job Specifics

Minimum Qualifications The selected candidate must be eligible for transfer under Civil Service Law or reachable on the appropriate eligible list for this title and location in accordance with the provisions of Civil Service Law, Rules and Regulations.

Duties Description Under the general direction of the Associate Director of Human Resources, the incumbent will be responsible for performing the day-to-day administrative and office management activities for the Office of the Human Resources Management (OHRM). More specifically, the incumbent will:

• Assist the Bureau Directors with administrative needs including but not limited to: calendar updates, meeting agendas, monthly reports, ordering supplies, travel arrangements, and receive, coordinate, and send Bureau correspondence.
• Maintain and monitor financial records and prepare documents and reports.
• Complete, submit and manage Help Desk tickets.
• Update and proactively monitor the Bureau’s intranet pages to ensure the information is current.
• Function independently with little direction or review of work.
• Exercise independent judgment and decision-making on a regular basis.
• Maintain confidential documents, information, and files in both electronic and paper formats.
• Review incoming correspondence and reports to determine their significance. Make recommendations to manager or refer to appropriate person for reply.
• Gather data relevant to complex or unusual inquiries in order to provide a basis for a reply or a decision and/or draft the reply.
• Answer the telephone or assist employees in-person by responding to questions concerning policy or procedures and referring to appropriate staff member for very technical information.
• Oversee staffing of Bureau’s main phone line. Ensuring appropriate coverage at all times.
• Assist with office recruitment, personnel paperwork, and other Staffing duties as necessary.
• Monitor and respond to inquiries sent to the Human Resources email box.
• Be available for office coverage.
• Meet the Department's time and attendance rules and regulations.
