Job Specifics
Minimum Qualifications Three years of relevant experience.
*Substitution: Certification (such as the International Association of Administrative Professionals’ Certified Administrative Professional), diploma, or associate’s degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology may substitute for two years of experience.

• Ability to manage time and prioritize multiple requests concurrently
• Good written and oral communication style
• Familiarity comfortability with virtual meeting platforms such as Webex
• Strong command of Microsoft Office suite including Outlook and Teams
Duties Description • Provide confidential support to the Director of Indian Nation Affairs.
• Occasionally handle confidential or sensitive information
• Schedule and arrange virtual and in-person meetings, conferences, and presentations for the Office of Indian Nation Affairs
• Arrange travel accommodations for the Director and occasionally staff. Process travel forms for the Director.
• Schedule biweekly staff meetings. Work with attendees’ calendars and assistants to schedule meetings with outside personnel. Provide updates to the team when meetings are cancelled or re-scheduled. Ensure agenda and other meeting materials are distributed in a timely manner.
• Take minutes at staff meetings or other meetings as needed.
• Transmit instructions from the Director and Deputy Commissioner for Equity & Justice to staff and monitor requests.
• Receive incoming correspondence, including phone calls, emails, and letters, and determine significance. Distribute as appropriate and ensure follow up as necessary.
• Prepare and proof correspondence.
• Act as liaison between Office of Indian Nation Affairs and other divisions within the agency as needed.
• Coordinate, gather and submit all agency Notice of Appearance Forms to JCOPE.
• As requested by the Director, help maintain a filing system for OINA files including cataloguing historical files.
• Assist with monitoring and tracking of correspondence.
• Assist the Office with planning and coordinating the Annual Indian Nation Leadership meeting.
• Provide additional administrative support for Executive staff and Offices.
