employee with one year or more of permanent or contingent- permanent, competitive service in a position allocated to a
salary Grade 7 or above and eligible for transfer under Section
70.1 of the Civil Service Law.

Provisional: Current NYS Department of Health employee with one year or more of permanent or contingent-permanent, competitive service as either a Law Department Document Specialist Trainee 1, Law Department Document Specialist Trainee 2, Office Assistant 1-Keyboarding, Office Assistant 1-Keyboarding (Chinese Language) or Office Assistant 1-Keyboarding (Spanish Language), OR in an office assistant or clerical title allocated to Grade 6 or higher. ONLY the titles listed are qualifying for these examinations.

Examples of non-qualifying titles are: Developmental Disabilities Secure Care Treatment Aide 1, Direct Support Assistant, Food Service Worker 2, Licensed Practical Nurse, Mental Health Therapy Aide, Security Services Assistant, and Youth Support Assistant.

Preferred Qualifications: The preferred candidate will have experience working with Microsoft Office including Outlook, Word, and Excel. They will also have strong written and verbal communication skills, excellent organizational skills, and experience working in a team environment. They will be able to work independently on tasks where needed and demonstrate strong critical thinking skills when encountering issues and problems.

Duties Description The Administrative Assistant (AA) 1 is responsible for facilitating general correspondence and communications. This includes answering telephone calls and receiving messages on the Section telephone line, forwarding calls to technical staff, and returning routine calls. The AA 1 will be responsible for periodically checking and responding to or forwarding emails and faxes that are in the main Bureau email inbox, the e-Fax line, and sending and receiving physical mail as directed.

Additionally, the AA 1 is responsible for processing radioactive materials applications, licenses, correspondence, inspection reports, and annual bills. This involves, timely hardcopy and electronic filing of communications and documents, as directed, and tracking of radioactive materials license actions, expirations, bills, inspections, and other correspondence using electronic and hardcopy file management systems as established by the Section. They will mail bills, follow up on overdue/late bills, and process refunds as applicable.

The Administrative Assistant 1 may be asked to assist in or facilitate other responsibilities and tasks not specifically named above to provide support to the Radioactive Materials Section and/or other program sections within the Bureau of Environmental Radiation Protection as directed. This includes, but not limited to, processing and compiling documentation for administrative tribunals (AT-10s) and Freedom of Information Law (FOIL) requests.

Additional Comments A passing score on typing test is required before a job offer to this title can be approved. Transfer candidates may be asked for SSN to verify title history and eligibility. If three or fewer NYS Department of Health promotional candidates respond to this notice, the agency may, at its discretion, nominate a qualified employee for non-competitive promotion under the provisions of Section 52.7 of the Civil Service Law. Employee must have one year or more of permanent or contingent-permanent, competitive service as either a Law Department Document Specialist Trainee 1, Law Department Document Specialist Trainee 2, Office Assistant 1-Keyboarding, Office Assistant 1-Keyboarding (Chinese Language) or Office Assistant 1-Keyboarding (Spanish Language), OR in an office assistant or clerical title allocated to Grade 6 or higher. If certified by Civil Service, mandatory reemployment list candidates must be considered first for appointment to this title. Candidates being considered under this provision must not have either failed to pass, or failed to apply for (if qualified), the last holding of the Office Assistant 2-Keyboarding examination, #38-695, held on November 5, 2022. Provisional appointees will be required to apply for and take the next Civil Service examination announced for this title, and achieve a high enough score to be immediately appointable from the resulting eligible list, in order to maintain employment.
