Job Specifics
Minimum Qualifications Reassignment: Current New York State Department of Health employee with permanent or contingent-permanent service as a Program Aide, Grade 13.
Transfer Opportunity: New York State employee with one or more years of permanent or contingent-permanent service in title at Grade 11 or above, and eligible for transfer to Program Aide, Grade 13, under Section 70.1 of the Civil Service Law.
Preferred Qualifications: The preferred candidate will have impeccable organizational skills. Be proficient in Outlook, Microsoft, and Adobe. Will have excellent time management and communication skills. Will have demonstrated the ability to multi-task.
Duties Description The Program Aide will be responsible for executing the following functions and duties: Tracking incoming and outgoing assignments, i.e., ECU/EDCC/ - Contracts – Correspondences (emails that are asking for an attorney to review). Assist in keeping the assignments moving through the Bureau. Handling and forwarding status requests to the appropriate attorney. Tracking any information that the attorney sends to the initiator of assignments. Processing of Memoranda of Understanding (MOUs) and other legal documents for the Department of Health from beginning to end. Logging them when they arrive, ensuring all parts are included, and filing them. Retrieving documents for anyone who inquires about them. Making sure they are filed in the appropriate places providing a paper or electronic copy whenever needed. Purchasing for the Bureau. Vendor verification, approvals and emails collected. Maintaining an accurate account of the purchase to compile a package to DOH.SM.DOHPCARDMAST. Reviewing licensure assignments as they come in to distribute to attorneys and, upon completion, to ensure all necessary information has been included. Answering incoming calls and emails that deal with the licensure process, or if necessary, directing them to the appropriate attorney to handle.
Additional Comments Contingent permanent, full-time, appointment. Transfer candidates may be asked for their social security number to verify transfer eligibility.
