Duties Description POSITION DESCRIPTION:
The Office Assistant 2 (Keyboarding) will report to the Director of Quality Management or their designee and will provide clerical and office support to professional staff assigned to the Metro DDSO Quality Management Department and is the initial point of contact for the Director of Quality Management.

PRIMARY DUTIES AND RESPONSIBILITIES:
• Working knowledge of Microsoft applications, Windows XP, Microsoft Word, Outlook, Excel, PowerPoint, and willingness to learn other databases.

• Assist Quality Management with all required administrative tasks and responsibilities as assigned.

• Ensure confidential documentation are signed and filed in accordance with standard of practice.

• Coordinate and schedule office meetings and conferences as needed.

• Prepare Incident Review Committee agenda, complete IRC meeting minutes, and IRC tracking system.

• Document follow-up efforts, compile information, and prepare plans of Corrective Actions to be provided to Division of Quality Improvement.

• Schedule meetings with advance notification and attend meetings for the purpose of recording minutes as needed.

• Prepare correspondence reports and communicate effectively with people on the phone and in person.

• Interact with Office of Investigations and Internal Affairs/Drive Cam Unit and maintain tracking system for DriveCam incidents.

• Maintain Master Incident Log, Employee Relations Office tracking system, and incident tracking clusters.

• Maintain Administrator on Duty calendar which includes planning and scheduling AOD assignments and changes as they occur on Office 365.

• Provide support for DEI initiatives as needed.

• Provide support for Quality Council meetings as needed.

• Perform other related duties as assigned.

This position will be subject to additional duties related to the Quality Management Department.

Minimum Qualifications COMPETITIVE MINIMUM QUALIFICATIONS:
You must be reachable for appointment on the current Civil Service eligible list used for filling this title.

NON-COMPETITIVE MINIMUM QUALIFICATIONS:
One year of clerical experience where most work time is spent performing keyboarding, data entry, chart compilation or arrangement, or various tasks involving typing into computerized systems. The selected candidate must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy by completion of probation.

PROMOTION:
One year as an Office Assistant 1; or one year of permanent service in a clerical or keyboarding title allocated to Grade 6 or higher.

TRANSFER QUALIFICATIONS:
Candidates must have one year of permanent competitive, non-competitive or 55-b/c status in the posted title and be eligible for lateral transfer; OR be eligible to transfer via Section 70.1, 70.4, or 52.6 of Civil Service Law. The transfer cannot be a second consecutive transfer resulting in an advancement of more than two salary grades.

Additional Comments This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). HELPS Program titles may be filled via a non-competitive appointment. This means that you do not need to take an exam to qualify, but you do need to meet the minimum qualifications of the title.

At a future date (within one year of permanent appointment), employees hired under NY HELPS are expected to have their permanent non-competitive employment status converted to permanent competitive status. You will not have to take an exam to gain permanent competitive status.

• Please note that starting salary for this title reflects the downstate adjustment. Posted Hiring Salary includes the sum of the statutory hiring rate for Grade 9 ($41,399) and Downstate Adjustment ($3,400). Downstate Adjustment is added to the job rate ($50,884).

• If you are currently a New York State employee serving in a permanent competitive qualifying title and eligible for a transfer via Section 70.1 of the Civil Service Law, you may be appointed to this title as a permanent competitive employee.

• For CSEA positions: Local Bidding Agreements will be honored.
