Job Specifics

Duties Description Under the direction of the Operations Support Manager 1, within the Office of Financial Services Division, Facilities/Mailroom Bureau and Section, the position will manage scheduling and calendaring events; make travel arrangements for staff and create associated expense reports; compose and distribute meeting notes; review communications with customers for proper grammar, spelling, and tone; track and coordinate assignments; and prepare reports. Specific duties include, but are not limited to:
• Coordinate and scheduling meetings.
• Track and coordinate assignments and projects.
• Prepare reports.
• Make travel arrangements for staff.
• Create and/or submit travel expense reports for staff.
• Answer telephone calls, give information to callers, take messages, and transfer calls to appropriate individuals.
• Create, maintain, and enter information into spreadsheets and databases.
• Compose, type, and distribute meeting notes, correspondence, and reports.
• Review work and correspondence drafted by others to check for correct spelling, proper grammar, and proper office format policies are followed, and recommend revisions.
• Take meeting minutes and/or prepare material from dictation.

Minimum Qualifications Candidates must be reachable on the appropriate Civil Service eligible list.

OR

Candidates must have one year permanent or 55 b/c service in a title designated as appropriate for transfer in accordance with 70.1 of the Civil Service Law.

For new State employees appointed to graded positions, the annual salary is the hiring rate (beginning of the Salary Range) of the position. Promotion salaries are calculated by the NYS Office of the State Comptroller in accordance with NYS Civil Service Law, OSC Payroll rules and regulations and negotiated union contracts.
