Job Specifics
Duties Description The Project Coordinator will play a pivotal role in assisting the Deputy Commissioner of Employment Security with Agency priority projects impacting all facets of the Unemployment Insurance Program. The role will comprise working on the following, but not limited to, and may include additional miscellaneous projects as needed:
• Assist large team with launching of the Unemployment Insurance Modernization System: Coordinating short-term staffing plan for the date of the system going live for first time. Developing schedules, on call plans, and constant contact plan for trouble shooting as needed and servicing customer calls and inquiries. Serving as program lead, working with the Communications Unit, on the communication plan for internal and external stakeholders for program launch. Tracking pre-established to do list/Implementation Plan to ensure a successful launch and maintenance of the new system.
• UI Services Policy and Program Support - Providing research and draft policy and procedure documents for the new UI system as directed by Senior Leadership
• Manage program content on the Agency’s website to ensure all information is up to date and comprehensive for customer clarity
• Manage the program content on the Agency’s intranet to ensure all information is up to date and accessible to staff for job-related and team building purposes
• Produce program and leadership newsletters for posting on the agency intranet
• Assist with drafting internal and external presentations for Leadership
• Serve as the program liaison on behalf of the Deputy Commissioner for all Customer Service Initiatives driven by Executive leadership. Develop and maintain relationships with internal and external stakeholders. Coordinate administrative activities and operations
• Become a subject matter expert on the UI Program in order to best assist team with special project
• Monitor progress of ongoing projects and provide updates. Ensure compliance with policies and regulations. Provide support to department and management. Prepare reports and documentation
Minimum Qualifications Minimum Qualifications:
Bachelor’s degree and three years’ experience or associates degree with six years combined experience in a lead role with project planning, creating project scopes, developing work breakdown structure, creating a project schedule and ensuring timelines are met. Responsible prioritizing tasks and identifying potential risks and developing mitigation strategies for successful project completion.
Preferred Qualifications.
• Excellent communication and interpersonal skills with a demonstrated ability to build
rapport with diverse stakeholders communicating project goals, progress and
challenges.
• Preparing and delivering presentations to large and small groups using PowerPoint.
• Interpreting federal and state regulations for the purpose of educating and training
fellow staff or stakeholders.
• Good analytical skills with the ability to translate data into actionable plans.
• Experience developing policies and procedures for new programs, preferably
government funded programs.
• Detail oriented and self-starter
• Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook)
