Job Specifics
Duties Description BASIC FUNCTION: Under the direction of the Director of Conciliation and Mediation, the incumbent will perform a full range of administrative duties to support the division.
WORK PERFORMED:
• Provide professional administrative support to the Office of Conciliation.
• Assign external mediators and fact finders to cases as directed and assist as needed.
• Maintain files on external panel applicants.
• Maintain database and paper files of all Declaration of Impasses and Fact Finding requests.
• Organize and maintain email files and various electronic files.
• Review and log external mediator and fact finder invoices.
• Verify and process external mediator payments and other fees in the Statewide Financial System (SFS) and follow up when necessary.
• Organize and maintain paper files. Retrieve files as needed.
• Create informational reports as requested.
• Monitor division in-box. Respond to emails and organize files as needed.
• Coordinate travel arrangements for division staff as needed.
• Act as proxy to process expense reports in SFS.
• Enter and maintain information into various software applications and databases.
• Act as a professional liaison with clientele in all matters related to the Division.
• Establish and maintain effective working relationships with staff at all levels within the organization.
• Perform general clerical work such as answer phone, greet visitors, operate office equipment, maintain office scheduling, coordinate meetings, research information, contribute to committee work, create conference material, data entry and open/distribute mail.
• Handle time-sensitive tasks in an efficient and timely manner.
• Assist other PERB staff as needed.
• Other administrative duties as assigned.
Minimum Qualifications Promotion: Candidate must be on the appropriate Civil Service eligible list for this title at this location; or,
Transfer Opportunity: Candidates must be employed by New York State and have permanent status as an Administrative Assistant 2, Grade 15, and be eligible for lateral transfer; OR be eligible to transfer via Section 70.1 of the Civil Service Law by having at least one year of permanent service in a qualifying title.
