Job Specifics
Duties Description Serve as the principal administrative support position to the Regional Director, Assistant Regional Director, the Regional Attorney, and regional administrative and legal staff:
•organize and coordinate administrative activities
•review incoming correspondence and draft responses where appropriate; review outgoing correspondence; research background information; transmit instructions to staff and conduct follow-up
•handle telephone calls and visitors and respond to questions
•establish and/or maintain office procedures
•design, set-up, and maintain office filing systems (including electronic) in conformance with document retention timeframes
•resolve day-to-day operational problems
•coordinate information flow by acting as a liaison among key staff and other employees, and the public
•assist with drafting, reviewing, editing, formatting, and mailing/sending documents and forms
•coordinate and arrange internal and external meetings, including sending out invitations with associated room reservations/virtual meeting access
•make travel arrangements and other authorized purchases
•process expense reports and reconcile purchases using SFS
•assist with case management and organization, including creating new physical and digital case folders, filing, and copying
•submit requests for public records and information from clerks, courts, and other repositories
•identify and direct to appropriate staff to field inquiries/communications received from the public, either orally or in writing, and provide routine information regarding processes or procedures to the public
•maintain a shared Outlook calendar for staffing coverage
•develop and maintain proficiency in the Microsoft suite of applications, including Word and Outlook
•track and coordinate regional responses in cooperation with the Commissioner Correspondence Unit
•Travel may be required and must have a valid driver’s license in order to facilitate timely completion of job duties, such as transporting materials to the post office for mailing and obtaining records from clerks, courts, or other local offices.
Assist legal staff in reviewing and responding to FOIL requests in a timely and accurate manner:
•develop and maintain proficiency with DEC’s GovQA Freedom of Information Law (FOIL) system
•assist with daily processing of regional FOIL requests, including locating and uploading documents and closing completed requests by required deadlines
•expedite attorney review of FOIL requests by gathering, organizing, reviewing, providing comments, and identifying potential redactions and exemptions
Minimum Qualifications Reassignment - Currently in the title and an employee of DEC
or
Reinstatement Eligible - Previously held the title on a permanent competitive basis or held a title as indicated under the transfer eligible section on a permanent competitive basis.
or
Transfer Eligible - One year of permanent competitive service at Salary Grade 13 or higher and:
Eligible for transfer under Section 70.1: Permanent competitive service as an Administrative Assistant 2, Accountant Aide, Program Aide, Business Document Specialist 3, Head Mail & Supply Clerk, Head Stores Clerk, Legal Assistant 1 and Trainee 2, Office Assistant 3, Office Assistant 3 (Calculations), Office Assistant 3 (Human Resources), Payroll Examiner 2, Payroll Specialist 2, Principal Data Entry Machine Operator.
Also any language parenthetic for the above titles.Additional titles which qualify can be found on the Department of Civil Service website, search "GOT-IT."
Additional Comments Must have a valid driver’s license or demonstrate the ability to meet the transportation needs of the position.
