Job Specifics
Duties Description This position will be in the Division of Fiscal Management. Duties include general office tasks such as filing; copying; scanning; answering phones and providing phone backup; responding to emails/questions; maintaining files; opening and distributing mail; processing outgoing mail; formatting letters for processing; working on special projects as needed, in addition to the following: send out purchase orders and contract documents; managing shared mailboxes; update contract database; review, post, track and follow up on budget errors; maintain multi-function machines; Filled Position Reports (Salary and Hourly);
Assist and provide backup to the Administrative Assistant 2 with tasks such as maintaining Division Director’s signature folders; scheduling interviews; scheduling/setting up meetings; maintaining Journal Voucher log/mailbox; responding to laptop and projector requests; maintaining Records Management records/spreadsheet.
Minimum Qualifications This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).
For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.
To be eligible for appointment under NY HELPS, candidates must meet the minimum qualifications below:
One year of clerical experience.
Minimum Qualifications for Provisional Appointment:
You must be a qualified employee of New York State and have had one year of permanent competitive or 55-b/55-c service as:
an office assistant, clerical, or keyboarding title allocated to Grade 6 or higher.

Additional ways to qualify:
Reassignment - Currently in the title and an employee of DEC
or
Reinstatement Eligible - Previously held the title on a permanent competitive basis or held a title as indicated under the transfer eligible section on a permanent competitive basis.
or
Transfer Eligible - One year of permanent competitive service at Salary Grade 7 or higher and:
Eligible for transfer under Section 70.1: Permanent competitive service as an Office Assistant 2, Office Assistant 2 (Calculations), Office Assistant 2 (Keyboarding), Office Assistant 2 (Stores/Mail), Secretary 1. Additional titles which qualify can be found on the Department of Civil Service website, search "GOT-IT".
Additional Comments Telecommuting may be available, will be discussed at interview.
