Job Specifics

Duties Description Under the general direction of the Deputy Director of Gaming, the Administrative Assistant will be responsible for providing high-level administrative support within the Division of Gaming. The incumbent will ensure the efficient operation of the office by performing a wide range of administrative tasks related to correspondence, files, and calendar management; work coordination; customer service; information gathering; and report compilation. The incumbent will operate across all program areas in the Division and will assist in managerial decision making. Specific duties include, but are not limited to, the following:

•Act as the initial conduit for the Division of Gaming by greeting all visitors, fielding telephone calls, emails, etc.

•Review potential rule and regulation violations at Commercial and Native American Nations/Tribes facilities and provide analysis to the Deputy Director.

•Maintain files/spreadsheets/databases that include software shipments for Commercial, Video and Indian Gaming facilities; approved game types, leagues, and wagers for sports wagering; documentation of approvals for interactive fantasy sports, and capital award funding.

•Collect, tabulate and track Division budgeted spending through the Statewide Financial System.

•Act as the liaison for complaints regarding Indian Gaming, Video Lottery Gaming, Commercial Gaming, Interactive Fantasy Sports and Sports Wagering. Independently determine what complaints need further investigation by on-site personnel or resolution through other channels.

•Serve as a designated travel proxy for multiple Gaming Division employees, coordinating and managing all travel authorizations, reservations, and expense reimbursements in accordance with agency policies and procedures.

•Receive and process supply orders in the Statewide Financial System (SFS), ensure timely receipt and distribution of materials, and provide prompt resolution of any discrepancies to maintain accountability and track completion of orders.

•Receive and review shipping requests for gaming personnel to and from all Video Gaming and Commercial Gaming facilities; verify documentation accuracy, confirm logistics and machine removals prior to transport, prepare paperwork for approval, and maintain a detailed shipping log.

•Track and maintain electronic records of gaming violations, ensuring accurate documentation, timely updates, and accessible reporting to support enforcement actions and regulatory compliance.

•Review and maintain documents as instructed by the Director of Gaming.

•Other duties as assigned by the Deputy Director.

Minimum Qualifications Preferred Qualifications:

• Highly proficient in the use of Microsoft Office including Excel, Power Point, Outlook, Teams.

• Excellent organizational and written communication skills; experience in customer service desired.

• Ability to work as part of a team and independently.

• A satisfactory equivalent combination of appropriate experience and education as determined by the NYS Gaming Commission.

• Communicate effectively via telephone, in writing and/or in person with various staff, managers and stakeholders.

• Ability to work under stringent deadlines.

• Must be able to multi-task and prioritize work assignments.

Transfer Opportunity: Candidates must have one year of permanent competitive or 55-b/55-c service in a title eligible for transfer under Section 70.1 of the Civil Service Law.

Open to the Public:

Salary range listed encompasses the hiring rate of an Administrative Assistant Trainee 1 (SG – NS) through the job rate of an Administrative Assistant 1 (SG-11)

Administrative Assistant Trainee 1: $40,391 - $49,743

Minimum Qualifications: Six months of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. To be advanced to the full performance level of this title you must successfully complete a set training and development program. Upon satisfactory completion of the 12-month training at the Trainee 1, you will automatically advance to Trainee 2.

Administrative Assistant Trainee 2: $45,081 – $55,322

Minimum Qualifications: One year of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. To be advanced to the full performance level of this title you must successfully complete a set training and development program. Upon satisfactory completion of the 12-month training as a Trainee 2 you will advance to the full level of this title without further examination.


Administrative Assistant 1: $47,695 - $58,447

Minimum Qualifications: Two years of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration.

Minimum Qualifications substitute:
Certification (e.g., IAAP Certified Administrative Professional) or associate’s degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology substitutes for two years of experience.


NY HELPS:

This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).

For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply and complete a probationary period.

At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.

Individuals certified eligible for the 55-b/c program under the Governor's Program to Hire Persons/Veterans with Disabilities pursuant to Section 55-b/c of the Civil Service Law are encouraged to apply. Additional Comments Prohibition against Playing and Wagering:
Commission employees and family members residing in their households are prohibited from purchasing Lottery tickets or claiming Lottery prizes. Commission employees are prohibited from wagering upon any horse racing, commercial gaming, video lottery gaming, Indian gaming, charitable gaming activities, interactive fantasy sports, and mobile sports wagering within the State. To avoid any appearance of impropriety of conflict of interest, Commission employees will be prohibited from all aspects of promoting, operating, and playing in any charitable gaming, which includes bingo and games of chance such as raffles, whether the organization conducting the game is required to be licensed by the Commission. The prohibition placed upon each Commission employee from assisting with any charitable gaming does not apply to the employee's family unless the employee thinks it presents a conflict of interest related to his or her job duties. Commission employees must also avoid any outside activities that could interfere or be perceived to interfere with their job duties.
