Job Specifics
Duties Description Administrative Assistant 2 duties include but are not limited to:
1. Supervise and oversee the Audit and Administrative Support staff by managing staff, setting work priorities, and assigning work.
2. Oversee the work processes and workflow. This requires effective communication skills and working with both internal and external customers.
3. Possess the ability to communicate clearly and effectively both verbally and in writing, using a variety of media.
4. Ensure that priorities are processed through the unit within required time frames. All workflow and time sensitive issues must be resolved efficiently, and problematic issues are brought to supervisor’s attention.
5. Possess a strong working knowledge of Microsoft Office computer software demonstrating the ability to create, prepare, and disseminate various reports and procedures.
6. Assist in the review and creation of procedures and workflow for administrative support. This includes the standardization of procedures and forms. Work with other sections and bureau supervisors so that procedural directions are written to ensure efficient workflow.
7. Ensure that staff receive appropriate training via in-house and formal training sessions. This task includes all necessary computer training involving mainframe, software, and any other system and department applications.
8. Assist management staff in the handling of special requests, projects, and/or directives as needed. Schedule meetings, secure locations and maintain calendar for management.
9. Oversee preparation of documents for review.
10. Act as liaison to Staffing Management (HR functions), Building Management and Operations Support Bureau
11. Supervise the Office mail room.
12. Perform other duties as required.
13. Comply with Office of Human Resources Management, Code of Conduct, Ethics, Internal Control Rules, Policies and Procedures. Maintain familiarity and strict adherence to all official rules, policies, and procedures, as well as those relating to secrecy and computer security. Must adhere to department time and attendance rules and regulations.
Minimum Qualifications The selected candidate must be eligible for transfer under Civil Service Law or reachable on the appropriate eligible list for this title and location in accordance with the provisions of Civil Service Law, Rules and Regulations.
