Job Specifics

Duties Description The New York State Senate Majority Conference is currently seeking an energetic, astute, diplomatic, and dedicated individual to fill a full-time position as a Legislative Operations Aide at the State Capitol in Albany.

The duties and responsibilities in this dynamic role include, but are not limited to the following:

•Planning, organizing and scheduling daily appointments and priorities
•Providing administrative support for the Senate Majority Conference on matters related to Senate legislative procedures and committee operations, while anticipating any issues that may arise and identifying appropriate solutions
•Preparing and distributing sensitive briefing materials for the Majority Conference
•Logging and tracking various legislative requests, attendance at office events, and other data
•Organizing, completing, and filing necessary paperwork for various staff, such as travel documents
•Receiving and reconciling invoices and filing hard and digital copies
•Following up with legislative offices and staff (members’ offices, Majority Counsel and Finance staff) to confirm committee meetings, briefing materials, appointments, and cancellations
•Ordering and replenishing office supplies
•Other duties as instructed and/or necessary to help keep the office performing at an efficient level in a high-speed environment
•Log in all incoming and outgoing mail and incoming telephone calls

Minimum Qualifications To move forward, you must have:

•Two years of administrative support or legislative experience
•Proficiency at Microsoft Office Suite, Teams, Outlook, Google Docs, Google Calendar
•A valid driver’s license
•A high school degree or equivalent

Candidates must have the ability to work a flexible schedule that can include long hours and late nights in a highly dynamic environment.

•Ability to assimilate new information readily
•Strong interpersonal and verbal communication skills
•Ability to manage and prioritize multiple, time-sensitive tasks simultaneously
