Job Specifics

Duties Description • Provide executive administrative support to Executive Management in Retirement Services.
• Handle highly sensitive matters.
• Communicate with customers, stakeholders, and agency staff.
• Prepare confidential documents and correspondence.
• Conduct research and communicate findings.
• Coordinate and arrange Executive’s daily schedule.
• Oversee Bureau administrative support function including supervision of other staff.
• Develop forms and procedures.
• Screen calls, emails, and visitors, routing each appropriately.
• Other duties as assigned.

Minimum Qualifications Four or more years of secretarial experience of which two years must have been in support of the Bureau Director level or above. An associate’s degree in Secretarial Science may substitute for two years of secretarial experience.

• Demonstrated ability to communicate with tact and diplomacy, both orally and written.
• Proficiency in Microsoft Outlook, Word, Excel and PowerPoint.
• Exceptional organizational skills.
• Demonstrated ability to effectively manage multiple priorities while also determining the importance and urgency of each.
• Excellent interpersonal skills.
• Demonstrated knowledge of business protocol and experience working in a professional environment.
• Ability to maintain confidentiality with sensitive information and circumstances.

• Ability to review written requests and research associated materials and/or resources.
• Be reliable, dependable, and cooperative.
• Organizational knowledge of the Office of the State Comptroller (OSC) and/or the New York State and Local Retirement System (NYSLRS) and/or another state agency.

Telecommuting: The Office of the New York State Comptroller (OSC) supports telecommuting where it is reasonable to do so based upon the agency’s mission and operational needs. Generally, employees new to OSC will be restricted from telecommuting for at least 8 calendar weeks. After the initial 8 calendar week restriction, if an employee’s primary residence location, duties, and work performance are aligned with telecommuting and operational needs they may be allowed to do so. Generally, OSC employees may telecommute up to 5 days per pay period but may be approved to telecommute less.
