Job Specifics

Duties Description The Office Assistant 3 duties in the Division of Corporations, State Records and Unified Commercial Code will include but are not limited to the following:
• Uses Oracle Processing System to record payment information, document information, and review, accept or reject and scan Unified Commercial Code (UCC) documents.
• Perform data entry of summons documents into the Cenuity system.
• Perform reconciliation of fees retained by printing the Operator Daily Revenue Report and reviewing this report for payment type and accuracy. If any discrepancies are found, take the appropriate steps to correct these problems prior to sending the Revenue Report to the Revenue Unit.
• Uses the Oracle Processing System to process, scan, validate, and record UCC documents and search requests.
• Accurately enter information provided on various Summons, submitted to the Division of Corporations for filing, into the Cenuity system.
• Process Work Orders containing information provided on various Summons, submitted to the Division of Corporations, emphasizing accuracy.
• Prepare records for transport to the records center for retention.
• Provide assistance to various parties at the Customer Service Desk.
• Backup OA 1 's at the customer service counter.
• Prepare daily schedule for UCC & Summons (assign staff).
• Complete UCC redaction (when this is not completed some images are unavailable on the website for viewing).
• Update & reprint Summons and UCC customer acknowledgments when needed.
• Maintain files of all Summons documents sent to records center.
• Process UCC's and/or Summons’ documents, when needed.

Minimum Qualifications COMPETITIVE MINIMUM QUALIFICATIONS:
Permanent service in this title or one year of permanent competitive or 55-B/C service in a title SG-12 or higher and otherwise eligible for transfer under Civil Service Law.

52.7 NON-COMPETITVE PROMOTON (NCP) QUALIFICATIONS:
In accordance with Section 52.7 of the Civil Service Law, if the number of qualified candidates who apply for the position is three or less, a permanent appointment can be made, at agency discretion, by non-competitive promotion of an applicant who meets the minimum qualifications. To qualify, you must be a current Department of State employee and have one year of permanent, contingent permanent, or 55 B/C service in a clerical, keyboarding, or paraprofessional**** title allocated to Grade 7 or higher.
