Job Specifics

Duties Description The position is in the Division Director (DD) Office of the Division of Environmental Remediation (DER). The DD Office oversees the management, policies and performance of the divisions programs, including State Superfund, Brownfield, and Environmental Restoration cleanup programs, Emergency Response (Spill) program and the financial resources needed to implement such programs. The Administrative Assistant 2 (AA2) selected candidate will perform administrative work to assist the office with furthering these objectives. The AA2 will manage the administrative functions of the Division of Environmental Remediation, which currently has over 300 staff (140+ staff in central office, and 160+ staff in the regions). The AA2 will manage the administration of the DD office including purchasing, answering phones, review, edit, track and distribute complex documents, finalizing documents prior to release (including Brownfield Cleanup agreements) schedule travel arrangements, and electronic filing of documents, as well as supervising the other Divisional Administrative support staff.

The key duties/assignments include but are not limited to:

1. Provide administrative aide to the Division by assembling quarterly reports, monthly reports and other routine reporting items and transmitting them to the distribution list. Type/edit/finalize correspondence, reports, memos, forms, etc.

2. Answer and screen phone calls, receive and direct visitors, and receive and route correspondence. Maintain office coverage during business hours. Handle purchasing supplies, manage expense reports for the Division Director's office, plan travel and maintain the Division Director's and Assistant Division Director’s schedule and meeting commitments.

3. Track Commissioner's Correspondence (CCUs), finalize and mail letters, and organize and maintain a filing system.

4. Set up meetings, produce reports from the Division’s database, direct and oversee administrative procedures of other division Administrative Assistants/ and Office Assistants.

5. The selected candidate must have excellent written and oral communication skills, must also efficiently and effectively deal directly with Division staff of all levels including managers, as well as staff of similar levels in other Divisions.

6. It is expected that the selected candidate will have experience in Microsoft Word and Excel. The selected candidate is required to gain an understanding and utilize databases such as the UIS and SFS. The candidate should demonstrate the ability to perform data entry and management of the associated information. The candidate is expected to have great organizational skills and the ability to work in a fast-paced environment where you may need to multitask.

Minimum Qualifications Reassignment - Currently in the title and an employee of DEC

Reinstatement Eligible - Previously held the title on a permanent competitive basis or held a title as indicated under the transfer eligible section on a permanent competitive basis.
or

Transfer Eligible - One year of permanent competitive service at Salary Grade 13 or higher and:

Eligible for transfer under Section 70.1: Permanent competitive service as an Administrative Assistant 2, Accountant Aide, Program Aide, Business Document Specialist 3, Head Mail & Supply Clerk, Head Stores Clerk, Legal Assistant 1 and Trainee 2, Office Assistant 3, Office Assistant 3 (Calculations), Office Assistant 3 (Human Resources), Payroll Examiner 2, Payroll Specialist 2, Principal Data Entry Machine Operator.

Also any language parenthetic for the above titles. You will be required to demonstrate proficiency in keyboarding. Additional titles which qualify can be found on the Department of Civil Service website, search "GOT-IT."
