Duties Description Summary:
The Library Assistant 2 assists the Coordinator for Circulation Help with the daily operations of Memorial Library’s circulation services, including loan management, course reserves, and frontline technology support. This role is responsible for recruiting, training, and managing the performance of circulation staff and student workers, ensuring high-quality service delivery and adherence to policy compliance. .

Major Responsibilities:

Circulation Operations
• Oversee daily circulation operations, including the lending and return of library materials, media, and equipment; manage course reserves and process financial transactions in accordance with institutional policies for students, faculty, and staff.
• Resolve service issues and operational challenges for students, faculty, and staff, apply policy knowledge and sound judgment; escalate complex concerns to appropriate departments to ensure timely resolution.
• Coordinate technology support requests by creating, documenting, assigning, and escalating tickets; track issues through resolution to minimize service disruptions for library users.
• Maintain data integrity and optimize workflows across library systems, including Alma, WhenToWork, and LibCal, ensuring accuracy, consistency, and efficiency in daily operations.
• Contribute to strategic planning initiatives for circulation services by analyzing usage trends and providing recommendations on staffing models, service hours, and equipment procurement to better support students, faculty, and staff.
• Develop and maintain comprehensive circulation documentation on Microsoft SharePoint, including annual updates to policies, procedures, and training materials to ensure operational consistency.
• Design and deliver staff training programs, including curricula, instructional materials, and assessments, to support ongoing staff development and high-quality service.
• Maintain up-to-date knowledge of library and institutional policies at SUNY Cortland, ensuring compliance and consistent application in service delivery.

Staff Supervision
• Assign duties to staff based on their roles and adjust assignments as needed. Plan, organize and monitor the progress of work and goal completion.
• Hire, onboard, and train staff. Provide clear instructions, regular feedback, and coaching. Communicate performance expectations and goals, complete performance programs and evaluations in a timely manner. Nurture the development of staff by identifying opportunities for training and career development.
• Confirm staff complete required training to maintain compliance with university policies and state and federal laws.
• Act as a liaison between staff and management, relaying information in both directions. Facilitate open communication and collaboration within the office. Address and help resolve staff issues and workplace concerns.
• Ensure appropriate staffing coverage and adherence to applicable policies.

Professional Service
• Participate in library committees, special projects, IR-wide initiatives, and library-wide special projects as appropriate.

Knowledge, Skills & Abilities:
• Proficiency in Alma Fulfillment, WhenToWork and LibCal.
• Effective verbal and written communication, including professional email etiquette and clear phone skills.
• Strong attention to detail and organizational skills.
• Managing multiple tasks simultaneously without losing focus or quality.
