Job Specifics

Duties Description Establish office procedures; design filing systems; implement policies and procedures; maintain efficient workflow; resolve day-to-day operational problems; respond to phone calls; sort mail; organize, expedite and follow up on projects; and coordinate information flow by acting as liaison among executives, staff, other employees and the public.

Administrative support of the Bureau Director & Assistant Director, including coordinating calendars, phones & correspondence; resolving daily operational/IT issues; executing purchasing needs in line with procurement rules; ad hoc projects; coordinating & maintaining Bureau’s training & evaluation records; maintaining logs, databases & meeting notes; supporting the Bureau Management Team; coordinating information flow by liaising among executives, staff, & the public; other duties as assigned.

Minimum Qualifications Non-Competitive Qualifications:
The incumbent must have a high school diploma or high school equivalency diploma AND three (3) years of experience in administrative support,** which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and management of an office.

**Certification (e.g., IAAP Certified Administrative Professional) or associate’s degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology substitutes for up to two years of administrative support experience.


Additional Comments Preferred Qualifications/Knowledge, skills, and abilities:

• Ability to communicate effectively.
• Ability to work with computerized spreadsheets.
• Ability to effectively use SFS and Microsoft Suite.
• Ability to review written requests and research associated materials.
• Ability to maintain orderly files.
• Ability to understand and follow established policies and procedures.
• Ability to work independently and exercise good judgement in assessing necessary action.
