Job Specifics
Duties Description The New York State Education Department’s (NYSED) Office of Education Policy is seeking candidates for an Administrative Assistant 2 position in the Office of P-12 Operational Support. This Office coordinates policies and initiatives related to accountability, assessment, information and reporting data systems, educational management services, and facilities planning in New York State. Duties of this position include, but are not limited to, the following:
• Maintain the Deputy Commissioner’s calendar, which involves scheduling many high priority meetings and rescheduling on short notice;
• Make travel arrangements and prepare expense reports for the Deputy Commissioner, and review all travel and procurement requests for Deputy Commissioner approval;
• Assign, track, and ensure timely responses to information requests and completion of assignments from the Board of Regents and Commissioner's offices, and assist with the preparation of materials and presentations for Board of Regents meetings and other Department meetings;
• Respond to a high volume of telephone calls, voice mail messages and/or emails, to effectively manage inquiries, provide publicly available information, and answer routine questions;
• Provide administrative support services and assistance to staff, including the editing, reviewing, formatting, and distribution of written documents in accordance with agency procedures;
• Support the development and tracking of work orders for staff supported by the Office of P-12 Operational Support as needed;
• Coordinate work schedules within the office to ensure adequate coverage;
• Ensure staff are informed of office procedures; and
• Complete other duties as assigned.
Minimum Qualifications Reassignment: Candidates must have one year of permanent competitive or 55b/c service as an Administrative Assistant 2.
Eligible List Appointment: Candidates must be reachable on the Civil Service eligible list for this title. If you are on the Civil Service eligible list for this title, you may receive a canvass letter. You must complete and return it as instructed on the letter.

Provisional Appointment: In the absence of an eligible list with three or more candidates willing to accept a position, a temporary provisional appointment may be considered. For provisional appointment, candidates must be a qualified employee of New York State and have one year of permanent competitive or 55b/c service as an Administrative Assistant 1, Administrative Assistant 1 (Spanish Language), Examination Composition Assistant, Keyboard Specialist 2, Keyboard Specialist 2 (Spanish Language), Keyboard Specialist 3, Law Department Document Specialist, Office Assistant 2 Keyboarding, Office Assistant 2 Keyboarding (Spanish Language), Secretary 1, Secretary 1 (Spanish Language), or Senior Data Entry Machine Operator. Provisional candidates must take the examination for Administrative Assistant 2 when it is next offered and must be reachable on the resulting eligible list to maintain employment.

Additional Comments This will be a permanent appointment or a temporary provisional appointment. Provisional candidates must take the examination for Administrative Assistant 2 when it is next offered and must be reachable on the resulting eligible list to maintain employment. Promotions and transfers may change appointees’ negotiating unit. Candidates should be aware that changes in negotiating units may affect their salary, insurance, and other benefits. This position allows for the opportunity to telecommute up to 30% each bi-weekly pay period and is granted at the discretion of the supervisor and the appointing office.
This position leads to a maximum salary of $72,429 based on annual performance advances. For new State employees appointed to graded positions, the annual salary is the hiring rate (beginning of the Salary Range) of the position. Promotion salaries are calculated by the NYS Office of the State Comptroller in accordance with NYS Civil Service Law, OSC Payroll rules and regulations and negotiated union contracts.
