Job Specifics

Duties Description ITS provides operational support to state agencies on a 24x7x365 basis; some positions may be required to provide this critical service at any time.

Under the direction of the Associate Budgeting Analyst, SG-23, the Office Assistant 3, SG-14, will be responsible for full range of Accounts Payable activities for ITS. The incumbent will verify services are being billed correctly and satisfactorily received as well as ensuring payments are processed then reconciled timely and correctly. The incumbent will gather and analyze information for the expenditures and work with the vendor community and ITS Program Areas to resolve any issues.

Duties include but are not limited to:

• Serve as ITS Accounts Payable Liaison with Program area, Business Service Center (BSC) and vendor community.
• Communicate with all partners both verbally and in writing.
• Assist in office support activities, including monitoring the shared mailbox.
• Research accounts and work with vendors on resolving missing or misapplied payments.
• Data entry and assist in maintaining the AP Automation application.
• Create and maintain excel and SFS reports as needed or requested.
• Ensure all documents/information received by the unit are reviewed, sent to the program area, and saved in the appropriate locations.
• Maintain financial records to monitor and control expenditure.
• Work in SFS to research Purchase Orders, create receipts, work pending vouchers and research payment related information.
• Process and Review vouchering transactions.

Minimum Qualifications COMPETITIVE QUALIFICATIONS:
You must be reachable on the current eligible list or eligible for transfer.

70.1 TRANSFER QUALIFICATIONS:
One year of permanent, contingent permanent, or 55 B/C service in a title eligible for transfer and determined to be similar by Civil Service.

SUBSEQUENT 55B/C QUALIFICATIONS:
A subsequent 55 B/C appointment may be considered if you have one year of permanent, contingent-permanent, or 55 B/C service in an eligible position allocated to Grade 12. To be considered, you must provide a copy of your letter of eligibility with your response.

• Able to work both independently and as a team member.
