Candidates must be current state employees and have a reachable score on the Office Assistant 2 list or
Have a current permanent appointment with 1 year of service as a Office Assistant 2 or to a title eligible for transfer to Office Assistant 2 or
Appointment as a Office Assistant 2 here at UAlbany, less than 1 year of service, (remainder of probationary period to be completed in new assignment) or
Be a former state employee eligible for reinstatement to the title of Office Assistant 2. May be filled from a mandatory reemployment list if one is in effect at time of appointment.
Duties Description Provide complicated clerical support for the Rapid Copy Department in the processing of print and copy requests for the University at Albany community using complex copy and bindery (finishing) machinery. Process and complete incoming job requests through hard copy or email attachments, maintain consistent quality, review required stock levels for large orders prior to processing, maintain confidentiality following department guidelines and procedures, operate machinery (copy and bindery) and equipment and resolve problems and issues as they arise efficiently and expeditiously with the machine vendor or contract provider; maintain proficient knowledge of all machine capabilities and functionality and participate in training offered when new equipment is brought into the Center. Maintain control over all completed jobs as well of the status of each completed job from order to completion / delivery. Deliver completed jobs to Mail Services and deliver and pick-up copy jobs within established department guidelines. Complete all job request tickets accurately to reflect all work requested. Keep supervisor updated of completed jobs and issues as they arise; refer more complicated matters to the immediate supervisor for guidance on matters that cannot be resolved independently. Process Office Stores requests as they are received and monitor inventory levels of Office Store items, notify supervisor when procurement of stock is required; periodically inventory stock items and provide reorder information to the supervisor; answer phone and inquires as they arise, communicate with all campus departments, external agencies and vendors as necessary; process cash and SUNYCard sales according to established procedures; assist in training staff on existing and new machinery and procedures.
