Job Specifics

Minimum Qualifications Candidates must have permanent appointment in an Secretary 1, SG 11, NY State classified position (or be eligible for transfer) or be reachable for appointment on the current NY State Civil Service eligible list for Secretary 1, Full Time - Brockport location.

Duties Description Position Summary:

Provides overall administrative support to the Department of Criminal Justice Chair and Faculty.

Essential Functions:

Communicates with and greets students, visitors, faculty, staff and community members; answers phones and responds to inquiries using various forms of communications such as e-mail and blackboard. 
Monitors and reconciles the department budget using the SMRT system, and keeps the Chair up to date.  Manages the department’s Visa card, and reconciles the monthly statement for approval.  Prepares travel expense reports for faculty and submits correct forms and documentation for reimbursement.
Assists students with the processing of declaration of major forms.  Provides support to faculty in assigning advisors to students.
Assists faculty in duplicating syllabi and tests.
Maintains the department files; keeps records of all syllabi, travel expenses, budget, faculty searches and student action forms.
Maintains faculty personnel files with updated appointment forms. 
Hires, trains, schedules and supervises work-study students.  Maintains work-study records, approves and processes timesheets and prioritizes the tasks of the work-study students.
Maintains the office supply inventory; places orders for supplies when needed through various approved vendors.
Oversees office machine upkeep, and requests service repairs when needed.
Provides administrative support to faculty search committees; posts positions, manages candidate files and assists candidates with travel arrangements.   
Coordinates office space, furnishes office supplies, and orders telephone and computer equipment for new faculty members.
Informs adjunct faculty of all department and campus events. 
Completes Adjunct Faculty appointment forms each semester.
Assists student clubs with communications via Blackboard to all Criminal Justice students.
Supports department and faculty projects and initiatives department scholarships, awards, and functions.
