Job Specifics
Minimum Qualifications Current New York State employee with one year or more of permanent, contingent-permanent or 55b/c service as a Secretary 1; OR current New York State employee with one year or more of permanent, contingent-permanent or 55b/c service in a position allocated to a Grade 9 or above and eligible for transfer under section 70.1 of the Civil Service Law.*
*Must demonstrate adequate keyboarding skills by prior service in a keyboarding title or successful completion of a Keyboard Specialist performance test.

Duties Description This position directly supports an Associate Attorney and Senior Attorney in matters involving Freedom of Information (FOIL) requests and agency contracts. The Secretary 1 will provide administrative assistance to other Legal Services staff as required. Duties include but are not limited to: preparation and review of correspondence, preparation of material for FOIL requests, and agency contracts including special events and food services contracts. Other duties include: the receipt and tracking of incoming mail, protests, appeals, investigations, and other correspondence in accordance with statutory time frames; maintenance of electronic and paper tracking and filing systems; schedule meetings; update office procedures; maintain legal library; and receive and direct a variety of telephone calls. The Secretary 1 will also act as the unit’s training liaison which includes the monitoring, scheduling and tracking of attorneys’ compliance with continuing legal education (CLE) requirements as well as tracking/monitoring OGS Financial Disclosure Filers and their required On-Line, Live Mandatory Comprehensive Ethics Training Course (CETC).
This position is best suited for individuals who have strong organizational and communication skills; can complete a variety of tasks, on a daily basis, using Microsoft Word, Outlook and Excel, and are able to work both independently and as part of a team.
