Job Specifics
Minimum Qualifications High School - Secretarial Program or 1 or 2 years college curriculum in Secretarial Science or 1 year experience working as Secretary.This training and experience includes typing - proficiency and formatting at 50 WPM (usually 2 or 3 courses, 6-9 credits).
Preferred Qualifications: BA degree and 2 years of Secretarial experience.
Duties Description Primary contact person for board of directors and committee members for the SUNY New Paltz Foundation, a separate 501(c)(3) organization which provides support to New Paltz. Schedule all foundation committee meetings and quarterly full board meetings, as well as annual retreat.
Work with Vice President and Assistant Vice President to ensure meeting materials are sent out in a timely manner. Reserve meeting space both on and off campus, set up phone conferencing and needed AV, and order catering.
Manage and update BoardMax with meeting materials and all information relevant to the board. Schedule BoardMax training for board members. Manage and update foundation listserv. Purchase and disseminate parking permits for foundation board directors and committee members. Maintain board bios and up-to-date photos on website.
Take minutes during full board and committee meetings and ensure done in a timely manner. There are seven committees: Executive, Finance and Investment, Audit, Governance and Nominating, Development, Gift Acceptance, and Real Estate. Five of these meet at least four times per year. Work outside of core hours (at least monthly).
Ability to maintain confidentiality.
Coordinate Vice President’s calendar. Arrange meetings for Vice President and board members and prospects. Enter contact reports into Banner.
Schedule appointments for Vice President including scheduling meetings and events with the President.
Schedule biweekly one-on-one meetings with Directors and .
Personally greet donors and other VIPs upon arrival to New Paltz.
Travel. Arrange travel for Vice President including those travelling with her: transportation and hotel reservations, driving directions, itineraries, etc. Process travel reimbursement requests.
Maintain a professional and friendly front office, answering and appropriately responding to phone calls and visitors, and managing central mailbox. Set example for professional, courteous interaction among colleagues and with visitors and guests.
