Job Specifics
Minimum Qualifications Must hold or have held the title of Secretary 2 on a permanent basis or be reachable on the full-time permanent Secretary 2, NYS Civil Service list and respond to canvass letter, which will be sent out to people on the eligible list. You may also qualify if you are permanent in one of the following titles: Program Aide, Library Clerk 3, Office Assistant 3, OA 3 Calculations, or OA 3 Human Resources.
Duties Description Major Responsibilities:
Prepare correspondence and documents produced by the Associate Vice President and Vice President. Assist with the review and revision of College documents as they relate to those areas within Student Affairs. Major documents include the Campus Security and Fire Safety Report, the drug-free schools and communities act compliance document, and the summer/spring compliance mailing.
Serve as receptionist including screening calls and visitors, answering questions, referring appropriately, and communicating on behalf of the AVP and VP.
Maintain AVP’ and VP’s appointment calendars and schedule routine staff meetings, individual appointments, and various meetings as assigned.
Make meeting and conference travel arrangements for the AVP and VP and associated travel paperwork.
Process and track purchasing/accounts payable paperwork for VP’s accounts. Assist those who have been given allocations from those accounts in accessing and tracking.
Maintain general office files, electronic or paper.
Assist with Division/office/campus with special projects, e.g., Divisional events, Chancellor’s Award for Student Excellence nomination process, VP for Student Affairs Merit Scholarship process, etc.
Maintain personnel files for those reporting to the AVP and VP.
Responsible for the parental notification correspondence regarding Student Conduct cases.
Work on the Division Web page as well as the Parent/Family Page and communication through myRedDragon. Maintain parent/family email list.
Serve as/assist with administrative support to search committees for positions reporting to the AVP and VP.
Maintain confidentiality. Must be continually aware of the sensitive nature of much of what transpires in the AVP’s and VP’s office, particularly related to personnel matters and laws, policies and procedures on information release.
