Job Specifics
Minimum Qualifications Interested candidates must be reachable on the Secretary 2 eligible list or eligible to transfer under Section 70.1 of the Civil Service Law.
Candidates who are appointed to the Administrative Assistant 2 from the Secretary 2 list (#37-924) will not be required to demonstrate they have completed the eight administrative support courses.
70.1 Transfer:
Eligible candidates must have one year of permanent competitive service in a qualifying title allocated to a grade 13 or higher. If the candidate is not currently incumbering, or has not previously held a keyboard or secretarial title, the candidate will be required to take and pass a typing proficiency exam to qualify for transfer.
Keyboarding Test
To be appointed as an Administrative Assistant 2, candidates are required to pass a typing test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy. Generally, the keyboarding test is only valid for five years from the date the candidate passes it.
Duties Description Executive Support
· Answer Division’s main published telephone line as well as Deputy Comptroller’s line. Respond to questions concerning policy or procedures and refer calls to appropriate staff member for very technical information.
· Review incoming Executive Correspondence and prepare responses for routine matters;
o Refer other mail to appropriate personnel for response.
o Set deadlines for response.
o Follow up to see that appropriate information is being prepared and will be completed by the necessary deadline.
· Gather data relevant to complex or unusual inquiries to assist Deputy Comptroller and Division executives in provide a basis for replies or decisions and/or draft the reply.
· Respond to questions concerning program, policy and procedure. Refer most complex technical questions to appropriate staff.
· Monitor and track status of program activities.
· Prepare responses to letters concerning program, policies and procedures for supervisor’s signature.
· Review outgoing correspondence for proper grammatical usage, clarity, factual correctness, compliance with policy, program information and conformance to instructions. Insure that appropriate background material is attached.
· Arrange conferences; assemble and coordinate background materials for meetings and conferences. Attend such conferences and prepare a summary of the meeting’s conclusions or agreed upon courses of action.
· Transmit instructions from supervisor to appropriate staff orally, in writing or electronically and follow up to see that instructions are followed and deadlines are met.
· Prepare reports using statistical and narrative information and utilize a variety of software packages in order to obtain necessary data. May analyze information and make recommendations.
· Prepare slide presentations and handouts as needed.
Office Administration
· Open, review, sort and distribute incoming mail to appropriate program areas.
· Review and verify certain staff timesheets for accuracy and appropriateness.
· Schedule meetings and maintain calendars.
· Make travel arrangements and prepare travel vouchers.
· Design, set up and maintain files (including electronic) of correspondence and documents, code and file material, search for requested material and periodically purge obsolete material for storage in records center or for disposal.
· Prioritize and organize the workflow in the office.
