Job Specifics
Minimum Qualifications Open to NYS employees with one year of permanent or contingent permanent status as an Administrative Assistant 2 or in a title designated appropriate for Section 70.1 transfer of the Civil Service Law.
Transfer Eligible - One year of permanent competitive service at Salary Grade 13 or higher and eligible for transfer under Section 70.1 Transfer titles which qualify can be found on the Department of Civil Service website, http://www.cs.ny.gov/, search ”GOT-IT.” You may be required to demonstrate proficiency in keyboarding.
Duties Description • Provide technical assistance to Special Litigation Counsels within the Litigation Bureau for NY Matters, including technical assistance for implementation of new or modified procedures related to NY Matters.
• Assemble court pleadings for Special Litigation counsel and the NYC Litigation Bureau.
• Arrange meetings, teleconferences, and travel arrangements for the Special Litigation Counsels.
• Electronic file management for NYMatters, including scanning, and transferring documents within NYMatters.
• Oversee specialized library clerical activities in support of the NYC Litigation Bureau’s law library such as organizing and maintaining the library collection, assisting staff with obtaining Westlaw access, helping agency staff locate information, and directing the acquisition, shelving, and updating of the NYC Litigation Bureau’s library books.
• Contemporize the Bureau’s case and trial management reports.
• Assist Special Litigation Counsel with correspondence to and from client agencies.
• Generate table of authorities & table of contents from legal documents for the NYC Litigation Bureau.
• Review unaddressed incoming mail/correspondence and the transmission of such documents, as appropriate, to the appropriate bureau or designated person for handling.
• Copy travel vouchers, and as appropriate, submit to State Counsel for further approval.
• Copy memoranda seeking certification for outside counsel and maintain list of cases in which certification has been granted.
• Maintain the operation of the Bureau’s printers and scanners and report any malfunctions to vendors for repair.
• Manage and organize Bureau case files as needed.
• Interface with other Bureaus and/or agencies on an as needed basis.
• Must be proficient in Microsoft Word & Excel, knowledge of PowerPoint is a plus.
• Perform other duties as assigned.
Additional Comments Positions located within the New York City metropolitan area, as well as Suffolk, Nassau, Rockland, and Westchester Counties, are eligible to receive an additional $3,026 annual downstate adjustment.
