Minimum Qualifications "Current New York State employee with one year or more of permanent, contingent-permanent, or 55b/c service as an Administrative Assistant 1 (formerly Secretary 1); OR current New York State employee with one year or more of permanent, contingent-permanent, or 55b/c service in a position allocated to a Grade 6 and above and eligible for transfer under Section 70.1 of the Civil Service Law to Administrative Assistant Trainee 1.* *Note: Appointment may be made at a traineeship level. A new two-year traineeship, (Administrative Assistant Trainee 1, NS=Grade 8 starting salary $34,831 & Administrative Assistant Trainee 2, NS=Grade 10 starting salary $38, 875) leading to Administrative Assistant 1, Grade 11, has been approved effective October 31, 2019. Trainees will be required to take four mandatory courses the first year of the traineeship and four elective courses in each the second year of the traineeship in four competency areas through the CSEA Partnership, or equivalent offerings through another entity as determined by the agency. All trainees are required to successfully complete all courses before advancing to the Administrative Assistant 1, G-11.

communication skills; strong organizational skills and able to prioritize multiple assignments and to work cooperatively in a team based setting; the ability to use Microsoft Word and Excel
applications and other database applications and resources."
The preferred candidate will be able to handle multiple diverse tasks in a busy atmosphere, with strong organizational skills and attention to detail, and desire to work as a team member in planning and implementing work-related activities. The preferred candidate will be able to speak and write effectively in a professional manner with outside agency staff, members of the public, and executive chamber contacts. The preferred candidate will also have a high level of competence using the following computer programs: the Statewide Financial System, Microsoft Outlook, Word, Access, Excel, and PowerPoint.
Duties Description Within the Office of Community Transitions, the incumbent for this position will provide the principal administrative support for activities related to the transition of individuals with disabilities to a community setting with necessary supports. Specific duties include: maintaining records that include protected health information; entering and retrieving data from databases and spreadsheets; scheduling, coordinating, and preparing for meetings, conference calls, and conferences; maintaining program calendar; and/or assisting in the preparation of preparing routine reports; handling incoming and outgoing mail; answering telephone and electronic correspondence and forwarding to appropriate staff when necessary; ensuring compliance with administrative policies and procedures; tracking inventory and ordering supplies; assisting with special projects as assigned; designing and maintaining office filing systems, both electronic and paper; and, coordinating information flow between office staff, outside agencies, and contractors.
