Minimum Qualifications Provisional: Candidates must have one year of permanent service as a Data Entry Machine Operator, Data Entry Machine Operator (Spanish Language), Keyboard Specialist 1, Keyboard Specialist 1 (Chinese Language), Keyboard Specialist 1 (Spanish Language), Law Department Document Specialist Trainee 1 or Trainee 2, Office Assistant 1-Keyboarding, Office Assistant 1-Keyboarding (Chinese Language), Office Assistant 1-Keyboarding (Spanish Language), or in an office assistant or clerical title allocated to Grade 5 or higher.
Preferred Qualifications: Critical thinking skills, administrative skills, ability to solve problems independently. Professional work experience should include document organization and record keeping. The candidate must also have the ability to interact and collaborate with other staff within the Department of Health as well as Other State Agencies.
Duties Description This position will be in the Division of Finance and Rate Setting (DFRS) and will support DFRS Bureau Directors administrative needs. The incumbent will perform a wide range of administrative tasks including tasks related to correspondence, spreadsheets, calendar management, answering phones, responding to emails, compilation of reports, fielding of questions and acting as a liaison between the public and supervisors with regards to scheduling.
Under the direction of DFRS senior staff, the incumbent organize/modify filing procedures for outside stakeholder correspondence. Correspondence drafted by Bureau staff for senior staff signature will be reviewed and edited by the incumbent to conform to Division policies and formatting requirements. Incumbent will also track and coordinate incoming documentation as it moves from draft stage to finalization. Incumbent will maintain calendars, set up meetings and coordinate travel arrangements for DFRS senior staff as needed.
The incumbent will be responsible for maintaining the Division seating chart and will handle onboarding of new DFRS staff. Additionally, incumbent will operate and coordinate maintenance for office equipment such as printers, copiers, scanners and will arrange for repairs when equipment malfunctions. Incumbent will also be responsible for the ordering and distribution of office supplies.
