Eligible for transfer under Section 70.1: Permanent competitive service as an Administrative Assistant 2, Accountant Aide, Program Aide, Business Document Specialist 3, Head Mail & Supply Clerk, Head Stores Clerk, Legal Assistant 1 and Trainee 2, Office Assistant 3, Office Assistant 3 (Calculations), Office Assistant 3 (Human Resources), Payroll Examiner 2, Payroll Specialist 2, Principal Data Entry Machine Operator.
Also any language parenthetic for the above titles. You will be required to demonstrate proficiency in keyboarding. Additional titles which qualify can be found on the Department of Civil Service website, search "GOT-IT."
Duties Description This position is located in the Director’s Office in the Division of Environmental Remediation. The Administrative Assistant 2 will manage the administration of the Division of Environmental Remediation including purchasing, phones, word processing of complex documents, finalizing documents prior to release, including Brownfield Cleanup agreements, scheduling, and electronic filing of documents.
The selected candidate will perform the following:
Provide administrative aide to the Division by assembling quarterly reports, monthly reports and other routine reporting items and transmitting them to the distribution list. Type and finalize correspondence, reports, memos, forms, etc.
Answer and screen phone calls, receive and direct visitors, and receive and route correspondence. Maintain office coverage during business hours. Handle purchasing supplies, manage expense vouchers for the Division Director's office, plan travel and maintain the Division Director's and Assistant Division Director’s schedule and meeting commitments.
Track Commissioner's Correspondence (CCUs), Attachment A forms, finalize and mail letters, and organize and maintain a filing system.
Set up meetings, produce reports from the Division’s database, direct and oversee administrative procedures of other division administrative assistants/specialists and office assistants.
The selected candidate must have excellent written and oral communication skills must also efficiently and effectively deal directly with Division staff of all levels including managers, as well as staff of similar levels in other Divisions.
Additional Comments Preferred Qualifications:
Experience with Microsoft Office, highly organized and good communication skills.
Must have a valid driver's license or demonstrate the ability to meet the transportation needs of the position. Travel may be required.
