Minimum Qualifications "Current New York State employee with one year or more of permanent, contingent-permanent, or 55b/c service as an Administrative Assistant 1 (formerly Secretary 1); OR current New York State employee with one year or more of permanent, contingent-permanent, or 55b/c service in a position allocated to a Grade 6 and above and eligible for transfer under Section 70.1 of the Civil Service Law to Administrative Assistant Trainee 1.*
*Note: Appointment may be made at either the trainee 1 or trainee 2. A new two-year traineeship, (Administrative Assistant Trainee 1, NS=Grade 8 starting salary $34,831 & Administrative Assistant Trainee 2, NS=Grade 10 starting salary $38, 875) leading to Administrative Assistant 1, Grade 11, has been approved effective October 31, 2019. Trainees will be required to take four mandatory courses the first year of the traineeship and four elective courses in the second year of the traineeship in four competency areas through the CSEA Partnership, or equivalent offerings through another entity as determined by the agency. Trainees having completed the mandatory coursework prior to appointment may be eligible for appointment to the Trainee 2 level with appropriate approvals. All trainees are required to successfully complete all courses before advancing to the Administrative Assistant 1, G-11.

Experience with Microsoft Office Programs (Word, Visio, PowerPoint, Access and Excel), SharePoint and Adobe; Experience scheduling meetings, conference calls and webinars; Excellent written and verbal communication and interpersonal skills; Ability to assist in project management and able to coordinate documents and manage flow processes; Ability to work independently, handle multiple projects and priorities; Good organizational skills; knowledge of SFS and State travel procedures; Strong computer skills and willingness to learn new platforms; Ability to interact with the public and draft template correspondence; Ability to manage general office duties; Previous experience working with senior level leadership.

Duties Description The incumbent will function as the lead support specialist for the Director’s office and Bureau of EMS & Trauma Systems projects. Duties will include: Manage Directors’ calendars including scheduling meetings, webinars and conference calls; Will assist in project management and able to coordinate documents and manage flow processes. Handle travel arrangements and act as SFS travel proxy for submission of travel documents; Work with public affairs to post materials through Executive Correspondence (Intertrac) and for other information, revisions, etc. to the EMS/DOH website; Complete forms and paperwork for all executive clearance approvals and monitor advancement of approvals to flag when assistance may be needed to obtain final clearance; Maintaining and tracking various database systems including the assignments, tracking and follow-up of priority assignments and a logging; Able to use and/or learn Drupal to assist in the development of online surveys and responses; Tracking and routing system to meet control needs for incoming mail including correspondence; Typing and proofreading correspondence for proper grammatical usage, clarity and factual correctness; organizing and reviewing incoming mail including correspondence prepared for the bureau director’s approval/signature; Performing general office duties such as faxing and photocopying; maintaining filing systems (electronic and paper) code and file material, searching for requested material and maintain history files and purging obsolete material.
