Minimum Qualifications Permanent service in this title, or one year of permanent competitive or 55-b/c service in a title SG-12 or higher and otherwise eligible for transfer under Civil Service Law.

Duties Description The Office Assistant 3 (Calculations) will be responsible for the day-to-day supervision of accounts payable staff within the Business Office, including scheduling work and setting priorities, providing training and instruction, and assisting in the development and implementation of new or revised procedures. Duties include, but are not limited to:

• Audits and processes accounts payable and travel vouchers; provides training, advice and assistance to travelers, vendors, program, and Business Office staff.
• Supervises staff in the review of DCJS accounts payable vouchers, including travel, to ensure timely and accurate processing. Performs several supervisory administrative tasks such as approving timecards, time off requests, work schedules, assessing staff performance and completing performance evaluations.
• Reviews and approves purchase requisitions, confirming required information is available and accurate.
• Administers the DCJS credit card programs and acts as travel agent liaison.
• Coordinates with program staff regarding timely payment of invoices and P-card reconciliations.
• Conducts oral and written communications vendors and agency program staff or employees for the purpose of providing and requesting information, resolving issues, and explaining or interpreting procedures.
• Supervises paycheck sorting and distribution process to ensure procedures are followed and monitors internal controls.
• Reviews payments for compliance with the Comptroller’s rules and regulations regarding expenditures.
• Provides backup for Business Office functions, and other duties as needed
