Minimum Qualifications Candidates must be reachable for appointment on the current Civil Service Eligible List for this title.

OR

Candidates must have permanent competitive status in the posted title and be eligible for lateral transfer; OR be eligible to transfer via Section 70.1 of Civil Service Law.

Candidates who are not transferring from, or have formerly held, a keyboarding title must possess adequate keyboarding skills (i.e., the ability to type 30 words per minute with at least 96% accuracy) as demonstrated by passing the Keyboarding Performance Test.

Provisional Appointment: Employees with one year of permanent competitive service as an Administrative Assistant 1, or Administrative Assistant 1 (Spanish Language); Examination Composition Assistant, Office Assistant 2 (Keyboarding), Office Assistant 2 Keyboarding (Spanish Language), Office Assistant 2, or Law Department Document Specialist may be considered for provisional appointment. Provisional candidates must take the examination for Administrative Assistant 2 when it is next offered, and must be reachable on the resulting eligible list to maintain employment.

Duties Description PRIMARY DUTIES AND RESPONSIBILITIES:

The incumbent for the Administrative Assistant 2 will function as the administrative support to the Region 3 Director and the Capital District Deputy Director. The candidate will be expected to function independently with minimal supervision yet work collaboratively with the Director and Deputy Director. Candidates must be highly organized, be able to prioritize daily tasks, and have excellent time management skills. Confidentiality must be maintained at all times.

Primary Responsibilities include but are not limited to:
* Knowledge of computer applications: Excel, Publisher, Word, PowerPoint, Outlook
* Scheduling Meetings
* Sending emails on behalf of the Director and Deputy Director
* Maintaining the calendars of the Director and Deputy Director
* Managing time off requests and completing approvals in TIMES
* Knowledge and use of SFS to submit travel for the Director and Deputy Director
* Scheduling travel
* Screening and directing phone calls and monitoring coverage
* Submitting data for projects to Central Office on a regular basis and as needed
* Drafting responses as needed
* Managing IT needs
* Review and distribute incoming and outgoing correspondences
* Maintain filing systems
* Maintain tickler system to ensure deadlines are met.
* Maintain office equipment
* Complete work orders as needed
* Assist with annual DSP and end of year events
* Assist the Director in fulfilling responsibilities associated with the DDSOO Board of Visitors including but not limited to making all arrangements necessary for Board meetings, recording and distributing minutes of all BOV meetings, keep up to date records of BOV members; maintain and distribute Site Visit report from database, schedule monthly meetings and distribute monthly package which includes notice of meeting, draft minutes, final minutes, site visit reports, coordinate travel arrangements for BOV members, prepare travel vouchers for reimbursement of expenses.
* In addition, the incumbent will provide supervision to other clerical staff assigned to the Administrative Offices.
