Duties Description The Program Aide will perform a variety of substantive professional, technical, and administrative duties under the general direction of the Director of Lottery Marketing and Sales, within the Division of Marketing. This position will work across all functions in the Division and will assist in managerial decision making. Specific duties include:

• Assist in the implementation of Marketing & Sales initiative planning and activities.
• Build and maintain Marketing & Sales Unit initiative status report and monitors deadlines and marketing and sales initiative progress.
• Manage routing of materials (e.g., advertising, POS, working papers, guidelines, etc.) to obtain necessary approvals and maintains review records.
• Assist with updates to Marketing & Sales SharePoint pages, files, and workflows.
• Obtain approvals following Commission regulations.
• Coordinate activities and communications for Marketing & Sales Unit to facilitate effective coordination.
• Arrange meetings, conferences, conference calls and webinars for Marketing & Sales Unit.
• Prepare, write, and edit draft correspondence and program documents, such as annual marketing plan and a wide range of presentation and communication materials including FAQs, terminal and ticket messages and standardized marketing communications.
• Assist in the preparation, evaluation, and analysis of a variety of reports and records specific to the Marketing & Sales Unit.
• Apply analytical techniques to assist with Marketing & Sales efforts.
• Assist with the management and distribution of confidential data between the Marketing & Sales Unit and vendor partners in a secure manner, following established protocols and compliance guidelines.
• Collect, compile, and analyze data and information as directed by senior staff.
• Prepare tables, maps, charts, and reports as directed by senior staff.
• Ensure compliance with Marketing & Sales administrative and programmatic requirements.
• Keep up to date with rules and regulatory updates that affect the Marketing & Sales Unit.
• Assist with the Unit’s internal controls management and program testing.
• Assist management with billing matters related to effective stewardship of the Marketing & Sales budget.
• Assist management with financial records for the Marketing & Sales Unit related to Unit expenditures.
• Gather bids, estimates and billing and routes to appropriate Marketing Unit staff for additional review and approval. Track reviews.
• Assist the public in obtaining appropriate public information about Lottery marketing, sales, promotions, database registration and other marketing and sales efforts.
• Respond to customer inquiries with accurate information. Escalates or routes as needed.
• Serve as backup for Interpretation Services for Marketing & Sales Unit.
• Handle external business solicitations and refers to appropriate personnel.

Additional Comments NOTE ON TELECOMMUTING: Gaming Commission employees are required to apply and obtain approval through management to telecommute according to the Gaming Commission’s Telecommuting Pilot Program Guidelines.

PROHIBITION AGAINST PLAYING AND WAGERING

Commission employees and family members residing in their households are prohibited from purchasing Lottery tickets
or claiming Lottery prizes. Commission employees are prohibited from wagering upon any interactive fantasy sports, horse racing, commercial gaming, Indian gaming and charitable gaming activities within the State. The prohibition against any wagering upon any horse racing, Indian gaming and charitable gaming activities within the State, however, does not apply to family members of Commission employees.

To avoid any appearance of impropriety of conflict of interest, Commission employees will be prohibited from all aspects of promoting, operating, and playing in any charitable gaming, which includes bingo and games of chance such as raffles, whether or not the organization conducting the game is required to be licensed by the Commission. The prohibition placed upon each Commission employee from assisting with any charitable gaming does not apply to the employee's family unless the employee thinks it presents a conflict of interest related to his or her job duties. Commission employees must also avoid any outside activities that could interfere or be perceived to interfere with their job duties.
