Minimum Qualifications Administrative Specialist 1, SG-18: eligible for a 70.1 or 52.6 transfer.
Administrative Specialist Trainee, NS: reachable on the Department of Civil Service’s PATT eligible list (Department of Civil Service employees only); reachable on the PCO eligible list; OR eligible for a 70.1 or 70.4 transfer; or 55-b/c eligible with a Bachelor’s Degree.

Duties Description Under the direction of the Principal Accountant, this position will be responsible for the following duties:

• Process and data enter paper examination applications into the Fee System
• Address all communications from internal and external parties regarding examination fees and fee waivers, particularly through replying to emails in the Fee Unit Mailbox.
• Review and update content in the Application and Fee Unit Procedures and ensure they are kept relevant to current processes.
• Annually prepare, process, and track local examination fee billing, ensuring all payments are reported accurately and timely.
• Update of banking ledgers with exam fee payments received.
• Review applicants’ accounts for past due fees and process fee due payments received.
• Process chargebacks and bounced checks for failed payments.
• Process exam fee refunds when applicable.
• Prepare a monthly reconciliation between the Fee System and bank deposits.
• Interact with Staffing representatives, Employment Records Section in the Certification Unit, Promotion Review Unit, and List Maintenance Unit to keep current on upcoming examinations or changes impacting workload.
• Other Accounts Receivable and Fee Unit duties as needed.

Additional Comments NOTE ON TELECOMMUTING: DCS employees may be approved for a maximum of 50% telecommuting, however, they are required to apply and obtain approval through management in accordance with DCS Telecommuting Program Guidelines.
