Minimum Qualifications Candidates must be reachable on the Administrative Assistant 2 eligible list OR eligible to transfer via Section 70.1 of the Civil Service Law by having at least one year of permanent competitive service in a qualifying title within two salary grades of this position. Please note: A keyboarding performance test may be required before appointment.
Duties Description Duties include, but are not limited to:
Assist and support the work of attorneys by processing requests through the OOC’s project processing mailbox and Tracker case management system; coordinate the input, delegation and tracking of assignments for attorneys and legal assistants for the OOC to ensure that matters are assigned in a timely manner and that case information is complete; assist and support the work of attorneys by processing requests for hearings, coordinating the scheduling of hearing dates with DOH, and gathering documents for hearing preparation; provide customer service and manage the flow of communications within the office by greeting visitors, opening, processing and distributing mail, answering/directing phone calls, e-mails, or other written communications for the Office of Counsel staff; assist in the processing, handling and tracking of Freedom of Information Law (FOIL) requests and other disclosure requests received by the OOC; maintain calendars and schedule meetings via Outlook, WebEx, or Teams; prepare agendas and materials, take meeting notes and follow up on action items as assigned; coordinate travel arrangements and assist in the completion of associated documentation and maintain travel expense files; develop administrative support procedures – such as filing systems - to improve workflow and office efficiency; ensure appropriate file retention and storage; troubleshoot equipment issues and work with Bureau of Operations regarding repairs, office supplies, space needs; refer questions or relay assignments to appropriate staff members, track and monitor status; draft, compile, or proofread and review reports, memos, forms, written communications, and other work products for formatting, completeness, and appropriate grammar and punctuation; assist with copying, scanning, and organizing; assist and coordinate with personnel matters such as scheduling interviews, checking references, preparing recruitment forms, tracking performance evaluation due dates, and maintaining training records.
