One year current or previous permanent in the Office Assistant 1 title series OR

Must be reachable on the current civil service list for Office Assistant 1 Keyboarding.

Passing proficiency test in keyboarding sills is required. This test will be administered by the Human Resources Office.

Duties Description POSITION DESCRIPTION:

The Office for People With Developmental Disabilities (OPWDD) provides high-quality, person-centered services, supports and advocacy to approximately 136,000 individuals with developmental disabilities in New York State. We are guided in our interactions with the people we serve and each other by compassion, dignity, diversity, excellence, and honesty.

The Office for People With Developmental Disabilities (OPWDD) Division of Service Delivery Regional Offices seeks an Office Assistant 1 who will act as the vital support staff for the Region 4 Eligibility Unit. Eligibility Unit is responsible determines whether a person has a developmental disability and is eligible for OPWDD-funded services. The Office Assistant 1 will support and assist the Region 4 Eligibility Unit.

PRIMARY DUTIES AND RESPONSIBILITIES:

The candidate selected for this position will act as Office Assistant 1 for the Eligibility Unit. The incumbent’s duties will include but are not limited to the following:

• To answer questions from and provide eligibility information to various parties regarding agency activities and procedures

• To refer inquiries as necessary, operate various communication systems such as telephones and computers; and keep records of such communications.

• Operate, and perform basic cleaning and maintenance on office machines and equipment, clear paper jams in copiers, scanners and printers; replace toner cartridges; and clean keyboards and screens, schedule appointments and meetings using various office tools.

• Enter data and information into and retrieve data and information from computerized systems.

• Receive eligibility mail, scanning documents, uploading documents to CHOICES, corresponding with the specialist working the case or the RO4 Intake department if documentation for new case.

• Monitor the CCO Alert and local eligibility email box for eligibility inquiries, documents, new cases, and corresponding with the specialist involved or the RO4 Intake department (this will take some training)

• Assist with organizing files, retrieve files as requests come in for old cases, CAS assessor requests, requests from RO4.

• Scan and upload old/new documents to CHOICES, and perform routine processing activities, including checking forms for completeness and accuracy.

• Prepare eligibility letters for mailing (print, scan, upload, stuff envelope, give to mailroom)

• Prepare mass mailings for cases that have expired in process, and mass mailings for expired or expiring Provisional cases (and locating their files, scanning, uploading as needed)

• Provide general information by phone, mail/email for new eligibility information requests.

• Perform various clerical or office assistance tasks such as scanning documents and verifying accuracy of data from scanned documents.
