Minimum Qualifications EITHER: 1) Reachable on the Civil Service eligible list; OR 2) Eligible for reassignment by virtue of having permanent competitive service as a Administrative Assistant 2 (SG-15); OR 3) Eligible for transfer under the provisions of the Civil Service Law.
Duties Description The duties of the Administrative Assistant 2 include, but are not limited to, the following:
Administrative tasks to ensure the efficient operation of the department, including those related to correspondence, document archival, project and department coordination.
Prepare, distribute and archive correspondence, reports and publications.
Prepare purchase orders, track expenses and order supplies.
Prepare staff meeting agendas and minutes.
Coordinate with other departments to track the creation and revision of System forms.
Communicate with internal and external stakeholders, including NYSTRS delegates, participating employers and vendors, including answering phone calls and writing letters and memos.
Assist in planning the Annual Delegates Meeting and overseeing the annual election of delegates.
Maintain databases of vendors and media contacts.
Assist with department and Member Relations Division projects as needed in support of NYSTRS’ mission.

These positions are eligible for a 60% remote/40% in-office flexible work option as outlined in NYSTRS’ Flexible Work Pilot Program.
The Education & Outreach department educates external customers (e.g., members, delegates, employers, media) and internal staff about NYSTRS’ benefits and services through written, verbal and digital communications. The department is comprised of the Public Information Office (PIO) and the Documentation & Training unit (D&T). The Administrative Assistant 2 is responsible for a wide-range of administrative duties to ensure the efficient operation of the office and the coordination of our Annual Delegates Meeting.
PREFERRED QUALIFICATIONS-
Proven experience as an administrative assistant
Strong oral and written communication and correspondence skills
Proven customer service skills when communicating with internal and external stakeholders
Experience coordinating and scheduling meetings
Proven ability to handle multiple projects
Proficiency in Microsoft Word, Excel and Adobe
