Minimum Qualifications Current New York State employee with one year or more of permanent, contingent-permanent, or 55b/c service in a position allocated to a Grade 6 or above and eligible for transfer under Section 70.1 of the Civil Service Law.

Candidates must demonstrate adequate keyboarding skills by prior service in a keyboarding title OR successful completion of a Keyboard Specialist performance test.

*Successful completion of the two-year traineeship leads to appointment as an Administrative Assistant 1, SG-11.

Duties Description Duties include but are not limited to:
• Answer office telephone and provide information, support, and crisis intervention to callers in need of gender-based services. Transfer calls to appropriate individuals and take messages if required.
• Greet office visitors, handle inquiries, or direct them to appropriate staff persons.
• Efficiently utilize various program databases and applications including the Microsoft Office Suite.
• Create, maintain, and enter information into spreadsheets and databases.
• Operate, maintain, and schedule repairs for office equipment such as printers, scanners, and copiers.
• Coordinate agency conferences, meetings, or special events. Make travel arrangements for staff and assist with the creation of travel expense reports for staff.
• Compose, type, and distribute meeting notes, correspondence, reports, and various other documents.
• Review and revise draft documents to ensure proper spelling, grammar, and confirm office policies are followed.
• Research information using various sources including the internet.
• Mail various items including letters, reports, and promotional materials. Prepare packages and arrange for them to be shipped.
• Organize and manage paper and electronic filing systems.
• Order and distribute office supplies.
• Serve as back-up for the Executive Assistant to the Executive Director.
• Interact with customers and colleagues in a courteous and professional manner.
• Ensure confidentiality of privileged and sensitive material.
• Efficiently utilize program databases, applications, and Microsoft Office Suite.
• Perform tasks in an efficient, timely, and safe manner.
• Perform other duties and special projects as required.
