Minimum Qualifications MINIMUM QUALIFICATIONS:

Duties Description The New York State Education Department (NYSED) is seeking candidates for an Administrative Assistant 2 position in the Division of Professional Licensing Services within the Office of the Professions. Duties of this position include, but are not limited to, the following:

• Monitor and respond to all general incoming phone, email, fax and in-person inquiries for the Director and Assistant Director of DPLS
• Monitor and track all on-going discipline related cases being handled by DPLS on a frequent basis
• Provide application statuses for all requests that come to the Director’s Office in DPLS
• Serve as DPLS liaison with OP offices to complete and coordinate all administrative duties as needed
• Draft, prepare and process professional and accurate correspondence via emails, memorandums, letters and other documents in a timely fashion
• Serve as Records Retention Co-Coordinator and perform all relevant duties to implement an efficient record retention practice
• Supervise the Administrative Assistant 1 within the Director’s Office as well as any other subordinate staff that work in the Director’s Office
• Create and maintain an office Procedure Manual for all tasks within the Director’s Office
• Keep detailed and accurate notes for all meetings of the Director’s Office
• Work in coordination with the Administrative Assistant 1 in the Director’s Office to ensure all office supplies are ordered, stored and inventoried in a neat and organized matter for DPLS use
• Assist in all fiscal related duties within DPLS and have a general understanding of DPLS’ fiscal responsibilities for paying bills and handling reasonable accommodation purchases.



Additional Comments CONDITIONS OF EMPLOYMENT: This will be a permanent appointment. Promotions and transfers may change appointees’ negotiating unit. Candidates should be aware that changes in negotiating units may affect their salary, insurance, and other benefits.

* Leads to a maximum salary of $68,356 based on annual performance advances.
