Duties Description This position is in our Litigation Bureau in our NYC office.

• Provide administrative, technical, and secretarial support to the Deputy Bureau Chief and Attorneys in the Litigation Bureau’s Law Enforcement Practice Group. This includes preparation of confidential materials and knowledge of Bureau and OAG protocols, procedures and resources.
• Update, maintain and search computerized databases of case files, including NYMatters, including all searches necessary for Attorneys to conduct conflict checks and POL Section 17 representation analysis, and scanning and transferring documents into NYMatters.
• Type and appropriately handle correspondence, memoranda, and legal papers for the Deputy Bureau Chief and Attorneys.
• Proofread, review, and finalize correspondence and legal papers to ensure proper grammatical usage, clarity, factual correctness, compliance with policy, and conformance to instructions. Confirm that referenced materials are attached.
• Copy, scan and assemble legal papers, including preparation of Tables of Contents and Tables of Authority for legal memoranda.
• Access publicly available court records to obtain case status and documents.
• Schedule meetings, appointments, and interviews.
• Maintain calendars for depositions, trials, and other appointments, as requested by attorneys.
• Make travel arrangements, process travel authorization requests and travel vouchers, and prepare purchase requests. Maintain all associated records.
• Answer telephone, respond to questions concerning policy or procedures, refer calls to appropriate staff member.
• Gather data relevant to complex or unusual inquiries to provide a basis for reply and to ensure all collected material is accurate.
• Review incoming mail/correspondence and ensure the transmission of such documents, as appropriate, to the appropriate person, within or outside the Litigation Bureau for handling.
• Assist in maintaining the operation of the Bureau’s printers and scanners and report any malfunctions to vendors for repair.
• Interface with other Practice Groups within the Litigation Bureau, other Bureaus within the OAG and/or agencies on an as needed basis.
• Must be proficient in Microsoft Word & Excel, knowledge of PowerPoint is a plus.
• Perform other duties as assigned.
