Duties Description The New York State Education Department’s (NYSED) Office of Human Resources Management (OHRM) is seeking candidates for an Administrative Assistant 1 position in the Staffing Unit. OHRM provides personnel services, staff development, labor relations and employee benefits to staff in various diverse program areas within the Education Department, including the Office of Education Policy (including P-12 and Higher Education), the Office of Adult Career and Continuing Education Services, the Office of the Professions, the Office of Cultural Education, the Office of Performance Improvement and Management Services, and the Office of the Chief Financial Officer. Duties of this position include, but are not limited to, the following:

• Utilize Eligible List Management System (ELMS) to canvass and code eligible lists;
• Create, monitor, and update recruitments within the internal NYSED recruitment tracking system;
• Create and maintain acceptor’s lists for all NYSED program areas;
• Create and maintain decentralized and department promotion eligibility list databases;
• Obtain clearance codes from Civil Service for appointments;
• Coordinate Performance Testing for selected candidates, such as, the Keyboarding Test and the Language Proficiency Exam;
• Review, log, file, and process performance programs and performance evaluations;
• Timely and accurately prepare a variety of letters for NYSED employees including but not limited to appointments, status changes, traineeship advancements, traineeship completions, and probation completions;
• Review and accurately log all personnel transactions that come into the shared Staffing Unit's electronic mailbox;
• Monitor shared electronic mailbox for Non-Employee Information, and complete any necessary data entry and administrative duties;
• Provide professional and courteous customer service to OHRM staff, program staff, and eligible list candidates; and
• Perform other duties as assigned.

Additional Comments CONDITIONS OF EMPLOYMENT: This will be a permanent appointment. Promotions and transfers may change appointees’ negotiating unit. Candidates should be aware that changes in negotiating units may affect their salary, insurance, and other benefits. Verification of work experience and/or completed coursework will be required for all candidates at the time of interview. Successful completion of an appropriate keyboarding test will be required for all candidates unless candidates demonstrate previous service in a competitive title for which passing a keyboarding test was required.

***This position may be filled as a traineeship. The salary above applies to candidates appointed to Administrative Assistant 1, SG-11. The salary for candidates appointed to Administrative Assistant Trainee 1 starts at $36,964 and, for current New York State employees, is based on the candidate’s salary at the time of hire. Candidates appointed at the trainee level will be required to successfully complete the traineeship in order to advance to the journey level title and salary. Failure to complete the required and elective courses while serving as an Administrative Assistant Trainee will result in removal from employment.

*Leads to a maximum salary of $53,490 based on annual performance advances.

** Administrative Assistant Traineeship Coursework Requirements: Trainees will be required to take eight courses, four mandatory and four elective, in the following administrative support competencies: Computer Skills and Technology; Interpersonal and Customer Relations; Professionalism and Self-Management; Verbal and Written Communication. Failure to complete the required and elective courses while serving as an Administrative Assistant Trainee will result in removal from employment.
