Minimum Qualifications To be considered for permanent appointment, candidates must be reachable on the current Civil Service eligible list or be eligible for reassignment or transfer in accordance with Civil Service Law.
If a viable eligible list does not exist, a provisional appointment may be made in accordance with Civil Service Law. Candidates who accept a provisional appointment must take the next competitive examination and be reachable on the resultant eligible list in order to be considered for permanent appointment to the position.
The minimum requirements for taking the examination are: You must be a qualified employee of New York State and have had three months of permanent competitive or 55-b/55-c service as one of the following:

In order to be eligible for a provisional appointment candidates must have one year of service described in the Minimum Qualifications for taking the examination.
Duties Description Reporting directly to the Regional Director, the Administrative Assistant 2 is the principal administrative support position in the office and responsible for increasing the effectiveness of program staff by managing a complex, frequently changing schedule, coordinating the paper flow of the office and carrying out the day-to-day administrative support activities required to accomplish the work of the organization. Some tasks will be of a confidential nature due to the Region’s activities. The incumbent will be expected to function independently. The tasks fall into four broad categories: communication, coordination, organization, and records maintenance. The position requires knowledge of the organization and basic functions of the Regional Program Areas. Core hours for this position will be from 8:30 am to 4:30 pm, Monday thru Friday. The specific tasks may include, but are not limited to:
Maintenance of an office filing system;
Review and track incoming correspondence. Direct questions to the appropriate regional group;
Coordinate and arrange meetings, determining the need for meetings as appropriate;
Resolve day-to-day operational problems;
Produce, format and review outgoing correspondence;
Coordinate information flow by acting as liaison among key executives, staff, department personnel;
Answer telephones, greet visitors, respond to questions concerning regional activities;
Establish office procedures; transmit instructions to regional staff and conduct follow-up as needed;
Communicate with regional managers on behalf of the Director;
Serve as the initial contact for officials and their representatives from all levels of government, as well as the general public;
Monitor incoming webmail and direct to appropriate staff for response;
Complete Regional Executive Office purchasing as needed;
Assist Public Information Officer with media relations and public outreach administrative tasks;
Assist with management of Regional internal and external web pages.
Responsibilities may include serving a role within the Incident Command System to support the department’s response to regional and statewide emergency situations.
Additional Comments The responsibilities of this assignment will occasionally require the incumbent to receive and act on inquiries/tasks that arise outside of normal business hours. This will include tasks associated with the Department's responses to emergency, and other critical situations.
*Telecommuting: The Department’s current telecommuting agreement is valid through December 31, 2022, and is subject to extension beyond that date.
